About reminder rules in Rules & Automations

Reminder rules automate follow‑ups when an invoice meets certain conditions and hasn’t been actioned. You can create rules for common scenarios, like invoices pending a property manager’s approval, invoices for vacant properties, or invoices approaching the due date, then choose how reminders are delivered (for example, by email or on the dashboard).


Where to find reminder rules

Use this path to open the Reminders rules list:

  • Go to: Settings

  • Select Rules & Automations

  • Select Reminders

On this page:

  • Active shows enabled rules

  • Inactive shows rules that have been deactivated

  • You can switch between Active and Inactive tabs to manage enabled vs paused rules

Tip: Deactivate rules you may need later instead of deleting them. This keeps your rule set reusable and reduces rework when requirements change.


What you can build with reminder rules

Reminder rules support several “Create rule for” scenarios. These scenarios determine which filters appear in the rule builder.

Supported rule scenarios (Create rule for)

  • An invoice pending property manager’s approval

  • An invoice for a vacant property

  • An invoice nearing the due date

Note: Filters vary by scenario you select. For example, the vacant property scenario can introduce a tag-based filter (e.g., a “Vacant Property” tag), while the due date scenario includes fields related to due dates.


Reminder rule building blocks

A reminder rule is made up of:

  • Scenario (what the invoice condition is)

  • Scope (which creditor type/creditor/property it applies to)

  • Trigger timing (when it’s considered “not actioned”)

  • Who to remind (user type)

  • How often to remind (frequency)

  • Delivery method (email or dashboard)
