How to process a BPAY Invoice?

Note: For BPAY invoices, you need to ensure the creditor is setup as an authorised creditor with the relevant BPAY reference number entered.

That unique invoice reference number needs to be entered against that creditor and that respective property.

STEP 1:
Once the invoice has been uploaded either via forwarding from your email account or by using the '+ Upload Invoice' button option, the invoice will come through to your dashboard & will should show through into the 'invoices that need to be approved' status.


STEP 2:
After clicking on the 'invoices that need to be approved' button, you will be navigated to the next page with the list of the invoices. Click on the invoice you would want to approve and you will see the invoice display in the centre of the screen. On the right hand side of the screen, you will see the details that the system has automatically pre-filled for you such as the property address, property manager, description, owner details, creditor details, and payment details and you also have the option to notify the owner by ticking the box.

Note: The Ref Number that is on the invoice, will need to correlate with your creditor payment details that have been entered into your trust accounting software.

This needs to match the reference number listed under that creditor and property within your property manager software.


STEP 3:
Once done reviewing the invoice, click 'Approve' (this will then take you back to the dashboard) or 'Approve and next' (this will then take you to the next invoice in the queue), that invoice will then be sent back through your processing trust accounting software.
