About agency fees in Invoice Automate

Agency fees are charges configured in Property Tree and shown in Invoice Automate against the relevant invoice. These fees appear in the Fees panel (bottom-right of the invoice screen) and can typically be edited or removed before the invoice is approved.

Note: Applying agency fees to an invoice is only available in Invoice Automate Premium.

What you’ll see on the invoice screen:

  • A Fees section with columns like Fee Name and Fee Amount

  • A checkbox per fee to include/exclude it

  • An edit (pencil) icon for fee adjustments

  • A warning-style note indicating the fee data can vary per invoice (i.e., it won’t always look identical)

Note: The fees shown (names, amounts, and availability) depend on your Property Tree fee configuration and the invoice’s linked property/ownership.


Before you begin

Before applying or adjusting fees in Invoice Automate, confirm the following:

  • Your agency is using Invoice Automate with Property Tree integration (embedded/connected workflow)

  • Agency fees are already configured in Property Tree (fee setup is managed in Property Tree, not created from scratch in Invoice Automate)

  • The invoice is correctly matched to the property/ownership in Invoice Automate (fees generally won’t present correctly if the invoice isn’t associated with the right record)

Tip: In Property Tree, fees are structured by fee type (e.g., Ownership Fees, Property Fees, Tenancy Fees).


Apply agency fees to an invoice

Use this section when you want to ensure the correct Property Tree fees are applied before approval.

  • In Invoice Automate > Open the invoice

  • In the invoice screen, locate the Fees section (bottom-right)

  • Review the Fee Name and Fee Amount values listed

  • If the fee is optional, tick the checkbox next to the fee to include it

  • Continue reviewing the invoice details as normal

  • When ready, approve the invoice or continue with your workflow


Edit or remove an agency fee

If the fee amount is incorrect or should not be charged for this invoice, adjust it before approval.

  • In the invoice, scroll to the Fees section (bottom-right)

  • To edit a fee, select the fee row and click the edit (pencil) icon

  • Update the fee details as required (for example, fee amount)

  • Use the blue/white check icon to save your changes

  • To remove a fee, untick the fee checkbox

  • Re-check the fee list to confirm that only the correct fees remain

  • Approve (and process, if required) the invoice

Tip: If your agency uses multiple fees, confirm that both are intended for the invoice and that they match your owner agreement rules.

Once the invoice is approved (and processed, if your workflow requires it), the invoice and applied fee details sync back through to Property Tree.
