About approved invoices in Invoice Search

Invoice Automate displays approved invoices in the Invoice Search tab within Insights, giving you a complete view across approved and processed records in one place.


Use Invoice Search to view approved invoices

To open the consolidated list of invoices, including approved items:

  • In Invoice Automate > In the left navigation, select Insights

  • Open the Invoice Search tab. The table lists invoices, including approved invoices, alongside others

Tip: Use the Search box above the filter panel to quickly find an invoice by reference, amount, property, or creditor.


See invoice status at a glance

The Status column shows each invoice’s current state, so you do not need to open individual invoices to understand progress.

  • Locate the Status column on the right side of the table

  • Review the status for each row. Examples include:

    • Completed (approved)

    • Pending approval

    • Overdue

    • Duplicated

    • Recurring

    • Pending PM approval

  • Use the More options > Export data button to export the table to Excel


Filter by status to narrow results

Apply the Status filter to focus on a subset of invoices.

  • Open the Filters panel on the right

  • Select Status

  • Choose one or more statuses to apply

  • Review the filtered results in the table

Tip: The Filters panel also includes other useful fields. Use these together with Status to refine your dataset.


Export your search with statuses included

Export your current view to share results.

  • Apply any filters you need

  • Select More options > Export data

  • Choose your option that is available in your environment

  • Use the File format dropdown to select your file format

  • Select Export to download the document to your computer
