About owner disclaimers for owner approval

Owner disclaimers help set expectations before an owner approves maintenance work. When enabled, the owner must agree to the disclaimer you define when a job is sent for owner approval.

Common uses include:

  • Noting that costs can change if further issues are found

  • Confirming how urgent repairs may proceed without a fixed quote

  • Clarifying that contractors are independent and the agent coordinates follow-up


Before you start

You will need the correct permissions to access this setting.

  • Confirm the user account has full Maintenance Plus Admin access

  • If the setting is not visible, ask your Maintenance Plus administrator to update permissions


Enable and configure an owner disclaimer

Use this procedure to enable the disclaimer and save the text that the owners will be asked to accept.

  • Go to: Settings > Agency Configuration > Owner Settings

  • Set Enable owner disclaimer on approval to On

  • In the text editor, enter your owner disclaimer

  • Select Save

Tip: Start with a clear heading, such as Owner Approval Disclaimer - Maintenance Works, then use short bullet points for readability.

Example disclaimer (template)

You can adapt the following example for your agency:

By approving this maintenance request, you acknowledge and agree that:

  • The works will be arranged based on information currently available, including tenant reports, images, and/or initial trade assessment

  • Final costs may vary if additional issues are identified during the work

  • Where applicable, a quote will be obtained. In some circumstances, including urgent repairs or where further investigation is required, works may proceed without a fixed quote

  • All reasonable efforts will be made to engage appropriately qualified and insured tradespeople

  • The managing agent is authorised to proceed with the approved works in line with instructions and any agreed spending limits

  • Payment of the invoice will be processed via the property’s rental funds once works are completed and reviewed, subject to sufficient funds being available

  • The managing agent is not liable for the workmanship of independent contractors, but will assist in coordinating any required follow-up if issues arise

What owners see when you send a job for approval

This section explains when and where the disclaimer is shown to owners.

When you use Send For Owner Approval, the saved disclaimer is included in the approval email content that the owner receives.


Edit or disable the disclaimer

You can update wording or stop prompting owners to agree.

  • Go to: Settings > Agency Configuration > Owner Settings

  • To update the disclaimer, edit the text in the disclaimer editor

  • Select Save

  • To disable the disclaimer, set Enable owner disclaimer on approval to Off

  • Select Save

Note: Disabling the setting stops the system from requiring the owner to agree to the saved disclaimer when jobs are sent for owner approval.
