Use the property search bar and assigned to view

Summary

Learn how to use the property search bar to find a property and view all invoices for it, and how to switch between views with the assigned to menu.

This article covers:

About the property search bar and assigned to menu

The Invoice Automate dashboard includes two key ways to control what you see:

  • The Property search bar (to jump to a single property’s invoices) and

  • Assigned To view (the default view that shows all invoices your agency is managing). The Assigned To filter lets you narrow the dashboard to invoices relevant to specific user(s)

Use organisation view to see all invoices

Loads the full agency dashboard so you can see everything currently waiting for action.

  • On the Invoice Automate dashboard, confirm the filter at the top‑right shows Assigned To > Organisation View

  • Review the high‑level tiles and counts (e.g., invoices that have issues, invoices that need to be approved, pending for property manager’s approval)

Note: Organisation View is the default dashboard state.

Filter the dashboard by user with Assigned To

Displays only invoices relevant to the selected user(s), such as specific property managers.

  • Select Assigned To (top‑right) to open the panel

  • Choose one or more users (e.g., property managers) from the list

    • You can also select Current User to show only invoices assigned to you

  • Select Save to apply the filter

The dashboard refreshes to your selection

  • To return to the default view, open Assigned To and select Reset

Tip: Use Select All to quickly include the full list, or Close to exit without saving your changes.

Search for a property and open its invoices

Finds a single property and shows every invoice Invoice Automate has received for it.

  • In the dashboard, click the search text box to the right of Property

  • Begin typing the property address. Matching results appear as you type

Note: A minimum of three (3) characters is required before search suggestions start to appear.

  • Select the correct property from the drop‑down suggestions

  • Review the property’s invoices. These are grouped by status so you can quickly see what needs review/approval and what’s complete

Tip: Use partial street names (e.g., George) to broaden results, then pick the exact address from the list that drops down beneath the search field.

Understand how invoice lists are grouped

Within a property or on the Organisation View dashboard, invoices appear under status‑based groupings so you can triage quickly.

  • Issues - Invoices that need attention before approval (e.g., missing data, flagged duplicates)

  • Needs approval - Invoices ready for reviewer action

  • Pending property manager approval - Items awaiting the designated manager

Reset filters and return to Organisation View

This function clears any Assigned To filters and reverts the dashboard to the default, all-invoices view.

  • Open Assigned To

  • Click Reset

  • Click Save
