Invoice Automate: General Settings

Here's a quick run-through of the Invoice Automate general settings:


Email Invoicing Inbox

Within the email invoicing inbox field, you will need to enter in the email address/s that will be forwarding invoices into:

Invoice Automate - invoices@invoiceautomate.com

Please ensure to list all the email addresses that will forward invoices as this is how we determine how to match the invoice to your account. You can separate multiple emails with a comma and there is no need to add a space in between.

NOTE: If you have a designated email address for receiving invoices, you can setup inbox rules to automatically forward them to Invoice Automate. Your IT team should be able to assist you in setting these rules up.

Omit Vacated Tenant from tenant invoice charges

When this setting is turned on, Invoice Automate will not auto-generate a tenancy invoice for any vacated tenants.


Enable Invoices from South Australia Water

If your agency receives South Australia Water you can enable this setting as shown below. Once you set this on, you need to put in an email subject that comes through from the email you received from South Australia Water

This allows our system to automatically read the bill details and extract the invoice if you send this via the email forwarder.


Number of pages for invoice scanning

This setting determines how many pages you automatically want to scan. If a page count higher than this setting arrives, it will be sent to invoices with issues for you to process or manually complete.

Invoice Automate from a pricing perspective considers 2 pages as 1 invoice.


Enable Consumption Benchmarking

This setting allows you to enter a percentage amount that relates to the consumption benchmarking.

In the example below we have entered 10%, what this means is that the next time a bill is processed through the system for a matching property and creditor, if it is 10% higher than the last bill there will be a tag at the top of the bill to notify of this.

This can be particularly helpful with water bills and determining if there were leaks in the property over the billing period.


Notify Owner

When this setting is switched on, it will automatically notify your owner that you have received the invoice for their property.


Notify the owner when the property is vacant for invoices received

With this setting on, when an invoice is received for a property that is vacant. An automated email is set to the property owner informing them of this. The reason is there may not be sufficient funds to pay the invoice due to lack of incoming rent money.


Enable the preset tenancy due date

The preset tenancy due date setting allows you to enter the number of days tenants are given by default when a tenancy invoice is created.


Enable the commercial water invoice upload

This is a setting for Property Tree clients, this setting allows the creation of invoice tags inside of the property tree.


Enter the reason to override PM to take action on invoices

When this setting is switched on, any user can still approve an invoice you will just need to put a reason in.

Enable Invoice Approved Date to set as Invoice Due Date

When this setting is switched on, the date the invoice is approved in Invoice Automate will become the due date of the invoice back in your trust accounting software.


Get water meter readings from Inspection Manager

When this setting is switched on, Invoice Automate will sync with the water meter readings reported by the Inspection Manager


Enable summary reminder email list to accounting email

When this setting is switched on and an email entered. This email will be sent through a daily summary list of the reminders of upcoming invoices.
