How to process an EFT Invoice?

EFT invoices are invoices that have no constant reference number where a creditor and property can be matched, like BPAY invoices. The first time you process an EFT invoice, it will come into the 'Invoices with Issues' category. There will be a red tag like the below

Tag: Creditor EFT reference is not attached to the property

For the first invoice you will need to manually enter in the data from the invoice into the left side panel. Once entered and you 'approve' the invoice, Invoice Automate will save this content and match this detail for the next time.

For instance: You have a recurring gardening invoice from your trade Bill's Gardening which you receive every 4 weeks for the property 100 St Kilda Rd.

The first time you receive this invoice, it will go into the invoice with issues section and require this invoice detail to be entered in manually. After you enter the invoice details and approve the invoice, Invoice Automate will save this information.

4 weeks later you receive another gardening invoice from Bill's Gardening for the property 100 St Kilda Rd.

When this invoice is uploaded, that invoice will now go into the 'invoices that need to be approved' category. The property address will be prefilled, along with the creditor details.


STEP 1:
Once the invoice has been uploaded either via forwarding from your email account or by using the '+ Upload Invoice' button option, the invoice will come through to your dashboard & will should show through into the 'Invoices with Issues' category.

STEP 2:

Manually enter in all the details from the invoice into the right side details screen. Enter the details from the top down, starting with 'property details', than 'creditor details' than 'payment details'. The 'owner details' will prefill based on the property details.

STEP 3:
Once done entering in and reviewing the invoice, click 'Approve' (this will then take you back to the dashboard) or 'Approve and next' (this will then take you to the next invoice in the queue), that invoice will then be sent back through your processing trust accounting software.

This invoice detail will then be saved, so the next time you process an EFT invoice for this same property and creditor, the details will prefill.
