Tenancy invoices let you charge a tenant for costs related to the property (for example, water usage) while still paying the owner/creditor correctly.
Note: Invoice Automate creates the tenant invoice record but does not send emails to tenants. Tenant communications are managed by your property management software, which may offer the option to automatically email invoices and receipts if enabled and an email address is provided.
Before you start
To create a tenancy invoice from a bill in Invoice Automate, you typically need:
An active Invoice Automate ↔ Property management software integration (so approved items can sync)
A bill that should be on‑charged to the tenant (commonly water usage invoices)
Tip: If your tenancy has held funds, you may see an Allocate Held Funds option when creating the tenancy invoice (this applies available held funds against the invoice).
Create a tenancy invoice from an invoice
When viewing a bill, you can create a related tenancy invoice from the invoice details panel.
In Invoice Automate > Open the invoice you want to on‑charge
From your invoice list (left), click the bill to open the invoice details screen
In the invoice details panel, scroll down to the tenancy area and select + Create Tenancy Invoice
Review the prefilled tenancy invoice details
Common fields include:
Tenant (who will be charged)
Service Account (the account/code the charge maps to)
Date
Invoice Amount(s) and GST (if applicable)
Description
Allocate Held Funds (if available for the tenancy)
Edit any details you need to change
Click Save
Saving applies the tenancy invoice details to that bill.
What happens after you save and approve
Once the main bill is approved, the related tenancy invoice is created automatically in your property management software (for example, Property Tree) as part of the integrated workflow.
Approve the bill in Invoice Automate (per your normal approval workflow)
Once approved, your property management software receives the tenancy invoice for review and processing
Note: Invoice Automate does not email tenants. To automatically send tenant emails and receipts, configure this within your property management software and ensure that the tenant has a valid email address.
