Creditor settings let you automate polite reminder emails to creditors (vendors/suppliers), set when those reminders are sent in relation to invoice due dates, and control duplicate‑invoice handling. It also exposes per‑type and per‑creditor templates, as well as an optional redact add‑on for tenancy invoices. These features complement trust‑accounting platforms that may not automatically send supplier bill reminders.
Open creditor settings
To open the creditor settings:
In Invoice Automate > Go to: Settings
Select Creditor Settings
Set default PM reminders for a creditor type
You can set a default reminder period for reminders sent to the PM for the selected creditor type.
Turn on Set default PM reminder for creditor type
Choose a Creditor Type from the drop‑down
Choose a Reminder Period (for example, monthly or quarterly)
Select Add to add the rule
Tip: Use separate rules if different creditor types need different cadences.
Set default PM reminders for a single creditor
You can set a default reminder period for the PM for the selected creditor.
Turn on Set default PM reminder for single creditor
Search and select the Single Creditor
Choose a Reminder Period
Select Add
Note: You can add multiple reminder periods for the same creditor if needed.
Automatically send a reminder email to the creditor
Enable automatic reminder emails to the PM when invoices are due soon or have not yet been received.
Turn on Automatically send a reminder email to the creditor
Confirm your agency email settings are correct so reminders can be delivered
Customise reminder email templates (type and single creditor)
Tailor the subject and body for either all creditors of a type or an individual creditor.
Turn on Customise creditor type reminder email template or Customise single creditor reminder email template
For Creditor Types or Single Creditor, open the editor
Write a concise, courteous message
Insert placeholders from the buttons under the editor
Select Add to save the template
Tip: Keep messages short, include the amount, due date, property details, and a clear action. Friendly tone and personalisation improve response rates.
Set how many days prior to the due date a reminder is sent
Define when the system sends the reminder in relation to the invoice due date.
Turn on Set the number of days prior to invoice due date to send creditor reminder
Enter No. Days (for example, 7)
Tip: A 7‑day reminder works well for most suppliers. Consider a same‑day reminder for critical utilities.
Enable manual creditor reminders (optional)
If you prefer to send reminders yourself, enable Manually send creditor reminder to the creditor. Use this when a one‑off, edited message is more appropriate than an automated cadence.
Exempt creditors from duplicate detection
Prevent legitimate repetitive invoices from being flagged as duplicates.
Turn on Exempt creditors for duplicates
Select the Single Creditor to exempt
Choose the duplicate period (for example, weeks)
Select Add
Use this when a creditor sends multiple invoices for the same property and period, such as strata or utilities.
Enable redacted tenancy invoice (add‑on)
Turn this on only if your agency has purchased the Redact Invoices add‑on from the Add‑on(s) screen. If you do not see the toggle enabled, complete the add‑on purchase first, then return to Creditor Settings
When finished, select Save All in the bottom-right corner
