About forwarding invoices from Gmail to Invoice Automate

You can forward invoices received in Gmail to your Invoice Automate intake address, so they are processed automatically. Gmail supports forwarding all mail or specific mail that matches filters. Forwarding to any external address requires that address to be added and verified in Gmail before you can use it in a rule.


Before you start

Set up the basics in Invoice Automate so the forwarded invoices can be received and matched correctly.

  • Check and configure your Invoice Automate settings. Ensure your intake email address is correct for your environment and note any tenant‑specific requirements

  • Confirm your Gmail/Google Workspace permissions. Your Google Workspace admin may restrict external forwarding. If so, an admin will need to configure forwarding or adjust policies


Forward only supplier invoices using a Gmail filter

Filters give you more control. You can match known creditor addresses and attachments and forward only those messages. A forwarding address must be verified and selectable in the Forward it to action before you can use it in a filter.

Creating the filter directly from a sample creditor message is the quickest approach.

  • Open a recent invoice email from the supplier

  • Select More (three dots) > Choose Filter messages like these

  • In the filter form, confirm the From address is the supplier’s address

  • Add invoices@invoiceautomate to the To address

  • Tick Has attachment

  • Select Create filter

  • (Optional) You can tick Apply the label or Mark as read if preferred

  • Select Create filter to finish


View Gmail filters

To view current Gmail filters:

  • In Gmail, go to Settings > Select See all settings

  • Open Filters and blocked addresses

  • Select Edit to update a filter or Delete to remove it
