Deleting an invoice in Invoice Automate removes it from your dashboard and moves it to the recycle bin, where it can be recovered if needed. Deleted invoices remain in the Recycle Bin for 90 days, during which you can view, download, or restore them.
Note: The Recycle Bin provides a safety net if an invoice is deleted by mistake. The Recycle Bin list also records details like Deleted By and Date Deleted.
Delete an invoice
Use these steps when handling a duplicate invoice, if you've uploaded the wrong PDF, or if the document isn't an invoice (such as a newsletter).
In Invoice Automate > Open the invoice you want to remove
In the invoice view, select More (in the bottom right)
Select Delete invoice
Select Yes to confirm the deletion
The invoice is removed from the dashboard and moved to the recycle bin.
Tip: If you're deleting a duplicate, verify you're removing the incorrect version (e.g., wrong supplier invoice, wrong property, or wrong reference number) before confirming.
Open the recycle bin
To access the recycle bin:
Go to the Dashboard
Select Recycle bin (top‑right of the dashboard area)
You’ll see a list of deleted invoices (from the last 90 days), including columns such as:
Ref Number
Address
Amount
Due Date
Deleted By
Date Deleted
Invoice - View attachment
Action - Restore
Search for a deleted invoice in the recycle bin
The Recycle Bin includes a search control that can filter by Reference Number or Property Address.
Open the Recycle bin from the dashboard (top right)
In the search dropdown, select one of the following:
Reference Number
Property Address
Enter the reference number or property address into the text box that appears to the right
Press Enter
Tip: Use Reference Number when multiple properties share similar address formatting or when the invoice is known to have a unique reference.
View or download a deleted invoice
You can still access the original invoice PDF while it’s in the recycle bin.
Open the Recycle bin from the dashboard (top right)
Locate the invoice
In the Invoice column, select View attachment
View the PDF and download it using your browser/PDF viewer options
Restore a deleted invoice
Restoring the invoice returns it to your dashboard so it can be actioned again.
Restore a single invoice
Open the Recycle bin from the dashboard (top right)
Find the invoice you want to restore
Select Restore on the right (in the Action column)
Restore multiple invoices
Open the Recycle bin from the dashboard (top right)
Select the checkbox next to each invoice you want to restore
Select Restore (bottom‑right of the Recycle Bin window)
The restored invoices are placed back on your dashboard.
Note: If the invoice was deleted as a duplicate, restoring it may reintroduce the duplicate. Restore only if you’re sure it’s required.
