About Authority Flag notifications
Authority Flag notifications help you avoid gaps in management authority by alerting your team before the authority period recorded in Property Tree is due to end. When enabled in Invoice Automate, the system reads each property’s Authority End Date from Property Tree and raises notifications before that date.
Note: For this feature to work, the Authority End Date must be recorded in the property’s management agreement details in Property Tree.
Before you start (Property Tree)
First - Set up the following in Property Tree so Invoice Automate can detect authority periods and, if required, create tenancy invoices for water usage.
Record the Authority End Date - Open the Property profile and update the management agreement details with a valid Authority End Date. This is the date Invoice Automate uses to determine when to notify you
Confirm authorised creditors and references - For each property, ensure authorised creditors are listed with the correct Customer Reference Number and BPAY Ref where required
Set a default account for each creditor - Invoice Automate requires a Default Account on each creditor so invoices can be created successfully in Property Tree
Enable tenancy water on‑charge if you use IA for water invoices - To allow automatic creation of tenant water invoices, set Water On‑Charge to Yes on the Tenancy profile
Enable the Authority Flag Notification Period (Invoice Automate)
Turn on notifications in Invoice Automate after completing the Property Tree steps.
In Invoice Automate > Go to: Settings > General Settings
Find Enable Authority Flag Notification Period and switch it On
In Number of Days*, enter how many days before the Authority End Date you want to be notified, for example, 30
Select Save
Note: When enabled, Invoice Automate reads the Authority End Date recorded in Property Tree and raises notifications within the lead time you set.
How notifications work
Invoice Automate checks each property’s Authority End Date in Property Tree. If the date falls within your selected window, a notification is raised
The feature is designed to give you time to follow up with the landlord and avoid unpaid invoices after an authority lapse
Tip: Many agencies start with a 45–60-day window to give owners ample time to renew. Adjust to suit your renewal cadence.
