When it comes to your trades uploading invoices and quotes into Bricks and Agent, there are two main methods that cater to different needs. Here’s a detailed guide to ensure smooth and efficient processing.

Method 1: Seamless Integration with Accounting Platforms

This approach is perfect for larger trades who already use accounting platforms like Xero, MYOB, ServiceM8, SimPRO, and others. If your trades are generating their quotes and invoices within these platforms, they can easily transfer these documents to Bricks and Agent with just a few simple steps:

  1. Email Submission: Instead of sending their invoices and quotes directly to you, trades should email them to trade@bricksandagent.com. The critical requirement here is to include the job number in the email's subject line.

  2. Attachments: The creditor can attach the PDF of the invoice or quote and any additional documents, such as images, directly to the email.

  3. Email Matching: A small but important note: the email address the trade uses to log into their accounting platform must match the email address you have in your database. If there’s a discrepancy, just inform us, and we can adjust the settings on our end without the need for you or the trade to change email addresses.

  4. Finding the Job Number: The job number is clearly displayed on the top of every work order sent to the trade. You can also find it within Bricks and Agent by opening the relevant work order.

This method ensures that your trades can continue using their existing tools while seamlessly integrating with Bricks and Agent.


Method 2: Direct Upload via Work Order or Quote Request Email

This method is more suited to smaller trades that may not use comprehensive accounting platforms. Every work order or quote request email sent from the system contains clear instructions for uploading invoices and quotes:

  1. Accessing the Upload Portal: Within the email, there will be a “View Attachments or Complete Job” button. The trade can click this button from their computer or mobile device.

  2. Uploading Documents: Once they click the button, they’ll be directed to a web page where they can upload the invoice, add any necessary attachments, and even attach images. The system will automatically scan and pull in the invoice amount for them.

  3. Completing the Process: After everything is uploaded, the trade simply clicks “Complete Job.” The invoice is then sent to the property manager’s dashboard, ready for review and approval.

This method is straightforward and allows even smaller trades without advanced accounting software to efficiently manage their documentation.
