About viewing and managing key bookings

Key Automate organises keys in a virtual key cabinet and provides a Calendar and Dashboard view to help you schedule, edit, and track bookings. From these views, you can see borrower details, booking windows (checked‑out/checked‑in dates), and status, with colour chips that highlight items like Ready to collect, Checked out, Returned, Overdue, and Missing.

Tip: Use the calendar for quick hover previews and fast edits; use the Dashboard when you need extra options, such as Add Custom borrower, status changes, and overdue/upcoming lists.

Note: Before you begin, ensure that Bricks + Agent is enabled to access Key Automate.


Access the calendar and edit a booking

The calendar defaults to Month view, with Day/Week/Month toggles and colour chips for status. The Today button and arrows let you navigate dates.

To preview, edit, or delete a booking:

  • In Key Automate > Click the Calendar icon

  • Use the Day/Week/Month toggles to set your view; select Today or the arrows to move between dates

  • Click a booking to preview details (borrower, property, reason, and booking window)

  • Click the pencil (edit) in the top‑right

  • Edit fields as required:

    • Checked In date (planned return)

    • Borrowing reason (e.g., Routine inspection, Other)

    • Borrower (search or replace)

  • Click Save to apply changes or Cancel to discard


Delete a booking (from a calendar card)

  • Open the booking preview and click the trash can icon

  • Click Yes to confirm deletion

Note: Deleted bookings cannot be restored; recreate the booking if needed.


View and manage bookings from the dashboard

Use the dashboard’s key details pane for more options, including accessing overdue and upcoming lists, adding a custom borrower, and changing statuses.

  • In Key Automate > Click the Key Cabinet (key icon) to load the dashboard

  • You can search by property or use filters to locate a key and its booking

  • Click the relevant key to open Key Details

  • To adjust dates inline: click the pencil next to Checkout date(s)

  • Make changes, then click the check icon to save

  • Review Booked date(s): open Overdue or Upcoming tabs

  • Click the eye to view a read‑only version of the booking

  • Click the pencil to edit the Checked In date or Borrower

  • Click + Add Custom borrower if the person is not in your directory

  • If the key status has changed, select one of the actions at the bottom:

    • Key is returned (status returns to checked‑in/available)

    • Mark key as missing (enter a reason; status changes to Missing)

    • Flag key for issue (enter a reason; adds an issue flag without changing status)

  • Click Save to commit status changes

Note: The Save button remains greyed out until you select one of the actions, and required fields (e.g., reason) are completed for Missing or Issue.
