To start this process please first ensure, that your Ingoing inspection is in 'Completed Status'.
STEP 1: On your Inspection Manager app tap 'More' then tap 'Paperless Handover'.
STEP 2: This will bring up a list of all inspections in completed status, with the most recent inspections appearing at the top.
Select your inspection to proceed to sending the report.
STEP 3: On the 'Welcome to the Tenant Induction' screen you have a couple of options. If the tenancy looks correct then tap 'Continue'.
If you wish to replace the tenancy then tap '+ Add new tenancy' and then fill in the tenancy details and tap 'Save'.
STEP 4: You will see basic lease information and a document selector. Any documents that you have uploaded via the CMS will appear as options.
Tap 'Continue'.
(The key sheet is always included by default.)
STEP 5: If a key sheet photo was added during the inspection, the image will appear at the top of your screen. If not you will see the option to add one by tapping the camera icon. You can take a photo and add a comment below it. This will be formatted into a key sheet once you send the inspection.
STEP 6: Add the tenants one by one by tapping to add tenant details.
You have 2 options when adding tenants, you can either have them sign for the keys on the spot if they are present or you can tick the 'Remote key pickup'.
If your tenants are picking up their keys in person, each tenant that is present must agree to the terms and conditions and sign on your device to confirm the keys have been received.
If you are doing a contactless pickup, you can tap the checkbox 'Remote key pickup' and this will remove the requirements to add a tenant signature for the keys in the next step.
STEP 7: You have 3 options when finalising and sending the ingoing to the tenant.
No, Send Later: This option allows you to apply any tenant signatures and then send the paperless ingoing from the computer/website at a later stage with the tenants signatures applied.
Yes, Send Now: Once tapped you will have 2 options:
Send Now: This option will send an email to the tenants using the Paperless Ingoing Email Template selected right away and transition the inspection into T Review status.
Schedule: This option will allow you to schedule the Ingoing inspection to be sent off at a specific future date/time and then tap 'Schedule' to confirm.
Once you have sent the paperless ingoing you should see a Confirmation screen stating that it has either been scheduled or sent.
