Sending Paperless Inspections via PC (IM CMS)
Updated over a week ago

Sending your Paperless Inspections from your PC couldn't be easier! For any ingoing inspection in completed status, you can send the report to the tenant by selecting 'Send Paperless Ingoing' from the dropdown on the inspection or clicking the blue 'Send Paperless Ingoing' button at the top of the report.

This will open up a basic sending wizard similar to the one you may have already used on the mobile device. First you'll need to check the tenancy details to make sure you are sending to the correct tenant. You can change this from the dropdown or if your tenant does not appear at all, you may need to update this in your trust accounting software and run a sync to bring the correct details across.

Once you have confirmed this, you will be able to select any other documents to send to the tenant. The ingoing inspection will always be selected along with anything else you made mandatory when you uploaded it. For any optional documents you can click them once and they will turn from grey to blue indicating they have been selected and will be included.

Then it's time to add the tenants you will be sending the inspection to. We've made this easy by showing you suggestion bubbles under the fields that you can click on to fill out the tenant's first name, last name, email and phone number. You must add this information for any tenant you want to receive the inspection report.

Then we'll show you a plain text preview of the email we'll send out to the tenant, you can select another template if you've created one from the dropdown at the top.

Finally you'll see a summary screen confirming the information you've added. Double check here to make sure you're sending to the right tenant and all attachments are included.

We auto-select for you to be BCC'd for your own piece of mind, but you can deselect this if you wish. We also send reminders out to your tenants when their report is nearly due back to automate your follow-up and reduce the hassle for you.

Once you hit send, the email will be sent to the tenant, the timer will begin counting down until their report is due back and the inspection will move to Tenant Review status where you can monitor it.
