Sending Paperless Inspections via PC (IM CMS)

STEP 1: For any ingoing inspection in completed status, you can click the option 'Send Paperless Ingoing' from either of the following 2 locations:

Regardless of which method you choose, the same send/schedule window will appear.

Option 1 - Via drop-down arrow on the right of the 'View Report' button.


Option 2 - At the top of a Completed ingoing inspection when viewing it.


STEP 2: This will open up a basic sending wizard.

  • First you'll need to check the tenancy details to make sure you are sending to the correct tenant, then click 'Confirm'. You can change this from the dropdown.


STEP 3: On the next screen, you will be able to select any other documents to send to the tenant. The ingoing inspection will always be selected as default, then click 'Next'.


STEP 4: Then it's time to add the tenants you will be sending the inspection to.

We've made this easy by showing you suggestion bubbles under the fields that you can click on to fill out the tenants 'First Name', 'Last Name', 'Email' and 'Mobile', then click 'Next'.

(You must add this information for any tenant you want to receive the inspection report.)


STEP 5: Then we'll show you a plain text preview of the email we'll send out to the tenant, you can select another template if you've created one from the dropdown at the top. Then click 'Next'.


STEP 6: You will then end up on the summary slide, where we ask you to double check everything is correct. You then have the option to either 'Send Now' or 'Schedule'.

  • SEND NOW: Choosing Send Now will of course send off the paperless inspection right away.

  • Schedule: Choosing Schedule will allow you to choose a date and time to send the ingoing.
    The date field will automatically choose the lease start date that is saved against the active tenancy but if no date exists in that field, it will select todays date. Select the options you would like and then hit 'Schedule'.
    (While the 'Send Preview' checkbox is ticked it will send a preview of the inspection to the tenants as soon as you click 'Schedule')


Once you hit send, the email will be sent to the tenant, the timer will begin counting down until their report is due back. The inspection will move to Tenant Review status where you can monitor it.
