We've worked with Property Tree to sync inspection note fields from Inspection Manager across to the inspection on Property Tree.
With this setting enabled, the following 4 inspection note fields will come across when you close your Property Tree created inspection on Inspection Manager.
Tenant Notes
Tenant Actions
Owner Notes
Owner Follow-up Items
β
Step 1: To enable this setting, go to your CMS settings and scroll down to the bottom right where the Property Tree settings are, and enable 'PT Notes Sync Office'.
Step 2: You will receive the following pop-up message. Be sure to read it and confirm that you are happy to implement the feature now. You may wish to sync any unfinished Routine inspections first as once this setting is activated, field names for routine inspections not in Closed status will change.
Activating this feature of the Property Tree sync will remove Overall Standard, Work to be carried out by Landlord and Work to be carried out by Tenant fields.
β
And replace them with the 4 new fields, Tenant Notes, Tenant Actions, Owner Notes, and Owner Follow-up Items.
You will not be able to rename or reorder these new Routine fields as they are linked directly to this feature and must be in that order for the feature to work.
β
Step 3: In order for the new field names to show in the App, you will need to sign out of the App or refresh your inspection list. They should then appear in your Routine inspections.
Upon syncing and closing your inspection report on the CMS, these 4 fields will then sync across to the inspection on Property Tree.
Step 4: Should you wish to disable this feature of the sync, you will be prompted with the following pop-up message which if confirmed, will revert the Routine fields back to their previously saved values for any routine inspections not in completed or closed status.
π BONUS TIP: Did you know you can add these fields as mail merge fields in Property Tree? That means you can automate the follow-up on your Tenant and Owner action items.
Step 5. Click the settings tab in Property Tree then select 'Automated Communications' from under 'Management Tasks'.
Step 6: Ensure that you have clicked on the 'Property Management' tab then scroll down until you see 'Inspection Report: Ownership' and 'Inspection Report: Tenancy'
β
Step 7: When you click the edit pencil to the right of the screen, you will be able to select the follow-up items from the "Template fields" section on the right of the screen and add them to your standard email template
So that your email template is set and all you need to do is capture the information during the inspection, then send the email from Property Tree and your follow-up is taken care of!
