About syncing inspections

Syncing is the final step in the inspection process in the app. After you complete an inspection, you need to sync it, so the completed inspection data is sent back to the CMS. Once the sync is complete, you can continue the report workflow from the CMS.


Open the sync screen

Before you can sync an inspection, you need to open the Inspection Sync screen in the app. This screen shows inspections that are ready to be synced.

  • Open the Proptech Labs Property Manager app

  • Tap Sync

  • If the inspection isn’t on the list, tap Inspections

  • Locate the In Progress inspection and tap the property address to open the inspection

  • Continue with the inspection by tapping 360 Inspection or Standard Inspection

  • When the inspection is complete, tap Sync Now

  • Review the inspections listed on the Sync screen

Tip: If you have just finished an inspection and selected Sync Now, the app takes you to the sync screen with that inspection ready for the next step.


Select an inspection to sync

The sync screen separates inspections by sync status. To send an inspection back to the CMS, select it from the Not Synced section first.

  • Open the Not Synced section on the inspection Sync screen

  • Find the inspection you want to sync

  • Tap the inspection to select it

  • If needed, use Select All to choose all listed inspections at once

  • Tap Sync Now to sync it to the CMS

Note: An inspection may be in Not Synced status if you previously chose Sync Later at the end of the inspection, or if you selected Sync Now but have not yet completed the final sync step.

  • Wait for the sync to finish

  • Tap Done

  • Check that the inspection no longer appears in Not Synced

Confirm that the inspection has synced successfully

After the sync is complete, the inspection appears in the Synced section with a Completed status. This confirms that the inspection has been returned to the CMS.

  • Open the Synced section

  • Find the inspection you just synced

  • Confirm the status shows as Completed

  • Return to the CMS to continue processing the report


Finalise the report in the CMS

Syncing sends the inspection back to the CMS, but the report workflow is not finished until you complete any required follow-up steps there. After syncing, you can review the inspection, make edits if needed, and then finalise the report.

  • Open the CMS > Inspections after the inspection has synced

  • Review the completed inspection

  • Make any required edits

  • Close, email, or download the inspection report as needed


Best practice for syncing promptly

It is best to sync completed inspections back to the CMS as soon as possible. Leaving many finished inspections unsynced on the device can fill app storage, slow the app down, and increase the risk of losing inspection data.

  • Sync completed inspections regularly rather than leaving them on the device for long periods

  • Check for inspections still marked Not Synced before finishing your day

  • Return to the CMS after syncing so the inspection can be reviewed and closed when finalised

Tip: Use the Not Synced status in the app as a quick reminder that an inspection still needs to be returned to the CMS.
