About updating a completed inspection with the correct tenancy

Use this process when you complete an inspection and realise the wrong tenant is attached to the report. To keep the reporting and inspection history accurate, add a new tenancy to the property rather than replacing the existing tenancy details.

Note: Editing an existing tenancy and replacing tenant details can cause issues with reporting and inspection history.

Add the correct tenancy to the property

Before you update the completed inspection, make sure the correct tenancy has been added to the property. To avoid issues with reporting and inspection history, add a new tenancy rather than replacing the existing tenancy details.

About archiving an existing tenancy

A property can have a maximum of two tenancies at one time. If you cannot add a new tenancy, archive an existing tenancy first, then return and continue.

Update the completed inspection

Once the correct tenancy has been added to the property, you can apply it to the completed inspection report.

  • Select Inspections on the left-hand menu

  • Locate the relevant Complete inspection (use filters if needed)

  • Select View Report to the right of the inspection

  • In the report, select Edit

  • Select the pencil/paper icon next to the tenant name

  • In the pop-up window, select the new tenant’s name

  • Select Done

After updating the report, confirm that the tenant's name shown in the inspection is correct before you continue using or sending the report. The completed report screen displays the tenant's name, together with the lease and rent details, so it is worth checking these fields after the update.
