About adding a tenancy to a property

Adding a new tenancy ensures inspections, tenant details, and lease information remain accurate and auditable.

To avoid inspection issues or historical data loss, always add a new tenancy rather than editing an existing one.

Note: Editing an existing tenancy and replacing tenant details can cause issues with reporting and inspection history.

Search for and open the property

Before adding a tenancy, locate the property record.

  • Log in to Inspection Manager

  • Use the search bar at the top of the screen

  • Enter the address, owner, or tenant name

  • Select the property address to open the property record

  • Select the Edit pencil icon on the right-hand side of the property row

Add a new tenant to the property

From the property edit screen, you can add a new tenancy.

Note: A property can have a maximum of two tenancies at one time. If you cannot see Add New Tenant, you will need to archive an existing tenancy.

  • Scroll to the Tenants On Lease section

  • Select New Tenancy Detail

  • In the Tenancy Details window, select Do Not Archive Tenants(s)

  • Tenant details:

    • In Full Name, enter all tenants’ names

    • Only the main tenant’s email and mobile number

    • Confirm whether this is the current tenant

  • Lease details:

    • Enter the Lease Start and Lease End dates

    • Add the Current Rent amount

    • Select the correct rent period, such as weekly or monthly

  • Tenants on lease:

    • Add each tenant individually under Tenants On Lease

    • Ensure all tenants listed on the lease are included, including the main tenant

    • Select Add New Tenant as required until all tenants are listed. This includes the main tenant

  • Review all entered tenant and lease information

  • Select Save Property at the bottom right of the page
