Property Manager users can now create and customise reminder notifications tailored to your organisation’s needs, ensuring prompt attention to invoices approaching due dates or requiring approvals. Additionally, enhanced automation rules let you automate approvals based on set criteria such as invoice amount, creditor, and more, while new management tools provide the ability to reorder, activate, and deactivate rules with ease. These updates also bring a comprehensive “View History” for full transparency, alongside a focused dashboard section displaying urgent items.

✨ Automatic Invoice Instalment Detection

Easily manage recurring payments with our new feature that automatically scans invoices containing instalments and populates the "Add Invoice Instalment" section. The system identifies instalments and provides clear visibility of details like due dates, amounts, and reminders. Stay organised with scheduled payments displayed directly in the invoice, simplifying financial management and ensuring you never miss an instalment.

✨ Improved Handling for Recurring Invoices

Managing recurring invoices is now even easier with our latest updates to Invoice Automate. When the system identifies a matching original invoice for an instalment, it is seamlessly moved to the ‘Needs to be Approved’ section with a clear tag. If a matching invoice isn’t found 7 days prior to the instalment's due date, the system automatically shifts it to the ‘Overdue’ basket. This enhancement ensures you can address issues swiftly and avoid delayed payments, improving the efficiency of managing recurring invoices.

Palace users in Invoice Automate can now enable a new setting that allows the approved date of an invoice to be automatically assigned as its due date. This adjustment simplifies invoice management by overriding any pre-existing due dates from the document, ensuring timely payments and mitigating late or interest fees. Easily activated in the "General Settings" section, this feature offers a more efficient process to keep your financial operations smooth and stress-free. Enjoy greater control and peace of mind with this streamlined update!

✨ Take Control: Edit Creditor Reminder Dates

Enhance your invoice automation process with the new ability to edit the "Reminder will be received on" date when setting automated email reminders for creditors. Fine-tune reminder dates to suit your needs and preferences, ensuring better scheduling and smoother workflow management. This feature is accessible via any invoice basket (except recurring), allowing you to align reminders perfectly with your specific timeline. Set reminders effortlessly and enjoy enhanced control over your invoice management with this powerful update!

Redact Parts of PDF (Owner Details)

Introducing the "Redact Parts of PDF" feature, allowing users to automatically redact sensitive owner details from tenancy invoices. This function is managed through a new setting under 'Creditor Settings' named 'Enable redacted tenancy invoice'. Once enabled, IA users can define sample invoices by creditor to specify which sections require redaction, ensuring tenant privacy.

This feature:

  • Displays the 'Enable redacted tenancy invoice' setting under 'Creditor Settings' for IA users.

  • Allows IA users to upload, edit, and delete sample redacted invoices per creditor and invoice type.

  • Automatically redacts tenancy invoice details based on predefined samples during invoice creation.

  • Syncs redacted tenancy invoices seamlessly with the trust accounting system.

This optional add-on feature costs $100 per month plus GST, activated through the Add-on screen. The system provides messages and tooltips to guide users through enabling, editing, and disabling this feature effectively.

Custom GST Tag for Insurance Invoices

Introducing a new system parameter to capture biller codes for accurate GST identification in insurance invoices. This enhancement allows the system to scan GST values during processes like invoice reviews, bulk handling, email, or direct uploads. Superadmins can define biller codes to ensure precise GST identification, streamlining the approval process for IA users. In cases where biller codes are undefined, existing calculations will apply. This feature greatly enhances efficiency and accuracy in managing GST for insurance invoices, ensuring seamless operations and compliance.

✨ Invoice Date Stamp in "Invoices with Issues"

We've added a new feature to the "Invoices with Issues" section: now, when uploading an invoice, the system will display a date stamp indicating when the invoice was scanned. This enhancement provides users with clear visibility of the scan date for invoices that require attention, ensuring easy reference and efficient resolution of issues.

Invoice Automate for Palace Owner Water Tag

Introducing new functionality in the Palace system for handling water charging preferences:

  • Automatically generates tenancy invoices for relevant water charges when property owner water charges are disabled.

  • Displays a 'Water Usage Charge Enabled' tag on water invoice details and bulk review sections for clarity.

  • Owner invoices will reflect a zero amount for water charges, ensuring accurate tenant billing.

This enhancement streamlines water charging processes, providing clear visibility and accurate billing for all parties involved.

Efficiency Boost: Improved management for your bounced invoices

Introducing our new Bounce Back email feature to streamline your invoice processing. This enhancement ensures prompt notification and return of any failed invoice submissions, along with clear guidelines for correction and resubmission. This setting has been made mandatory for users with the ‘Enable Emailing Inbox’ setting turned on to ensure nothing gets missed. This feature will further enhance efficiency and ensures error-free invoice management.

Invoice Summary Report Enhancement

We've enhanced the Invoice Summary Report with a new "Created Date" column in the insights section, offering clear visibility into the upload dates of each invoice. When exporting this report as a ".csv" file, the "Created Date" column is included, facilitating easy tracking of invoice upload dates. Users can efficiently filter the "Created Date" column within the filter drawer for streamlined data analysis.

Extended Filter Options

The "Created Date" column now appears under every filter type in the downloaded ".csv" file, including "Approved", "Deleted", "Filed", and "OnDashboard". This comprehensive view across various invoice statuses ensures more precise data handling and reporting capabilities.

✨ Streamlined Tenant Billing: Invoice Automate for Palace Auto-Populated Invoices

We've enhanced Invoice Automate for Palace with automatic selection and population of tenant invoices using the Palace API. Now, when you set up a reminder for an invoice, not only will the system immediately display the created reminder for your review, but it will also ensure that the reminder is sent out to the Property Manager on the designated date. And for that extra layer of convenience, you have the freedom to tweak or completely remove any reminders you've set up.

Just choose a Tenant, and you're on your way to creating the Tenancy invoice with all their details. It's as easy as pie – making your invoicing process smoother than ever!

✨ Revolutionise Creditor Communication: Customise Email Templates with Ease!

  • We're thrilled to announce a handy enhancement to Creditor Settings! 🌟 Now, tailoring reminder email templates for individual creditors or specific creditor types is as easy as. Simply activate the "Customise single creditor reminder email template" or "Customise creditor type reminder email template" toggle. Then, craft your perfect email template using predefined fields and save it. Here's how:

    1. Navigate to the Invoice Automate System.

    2. Head over to Creditor Settings.

    3. Turn on the toggle to start automatically sending reminder emails to creditors.

    4. For a specific creditor, enable "Customise single creditor reminder email template."

    5. For creditor types, switch on "Customise creditor type reminder email template."

    6. Select from predefined fields to create your template and hit save.

  • We're delighted to introduce an enhancement that's set to improve your experience in the Bulk Review section! 🌟 This update focuses on ensuring every invoice is properly addressed before completion. Here's the gist:

    When you attempt to file invoices in bulk using the "File Only" button, and any of these invoices lack a property address, the system will now promptly display an error message. This message reads: "Incomplete Invoice Details - The system has processed invoices with property addresses, but those without property addresses were not completed. Please include a property address in the invoice details to proceed with the completion."

    This means, during a bulk review, if you hit the "File Only" button for a mix of invoices — some with and some without property addresses — the system will smoothly process those with property addresses and halt those without.

    This improvement ensures your invoicing process is more streamlined and error-free, helping you to manage your invoices more effectively.

✨ Enhanced Invoice Finalisation: 'File Only' Option Now Smarter with Mandatory Property Address!

We're excited to roll out an improvement that streamlines the process of completing invoices with the "File Only" option! 🌟 Now, if you try to finalise an invoice without a property address using the "File Only" option, you'll get an error message prompting you to add a property first. Once a property address is added, you can successfully complete the invoice. Here's a quick guide:

  1. Head to the Invoice List.

  2. Pick an invoice that lacks a property address.

  3. Jump over to the Property Details section and pop in the relevant property address.

  4. Click "More" and then select the "File Only" option.

This update ensures a smoother, error-free process, helping you manage invoices more efficiently!

✨Seamless Invoice Management: New Update Enhances Workflow for NZ Property Tree Users!

Exciting news for our New Zealand users! 🌟 We've just rolled out a fantastic update for Invoice Processing and Approval, tailored for those using Property Tree. Now, viewing your uploaded invoices is a breeze. Plus, once approved, they'll sync effortlessly with the Property Tree system, ensuring a smooth and seamless process. Get ready for a more streamlined workflow, designed to make your life easier!


Release Notes (Invoice Automate) | January 2024

✨Introducing "Omit vacated tenants from tenant invoices"

  • With this release, you can now choose to enable or disable the vacated tenants appearing in the tenant invoices creation screen.

    • Navigation Path: Invoice Automate App → Settings → General Settings → “Omit Vacated Tenant from tenant invoice charges”

  • If there are no tenants for any particular property, you cannot create any tenancy invoices

✨Timely display of installment invoices in recurring basket

  • With this release, the Installment invoices that you create will only be displayed inside the recurring basket precisely 30 days before the due date of each specific installment invoice cleaning things up and making it easier for you to see what is coming up.

✨ Displaying the editable fields in the recurring basket

  • With this enhancement, you can now see editable fields for the Due Date and Amount directly in the recurring invoice(s) basket.

  • Also, you can now edit the Description field in the Property Details section.

✨ Controls added to identify & restrict corrupted documents or 0kb invoice attachments in the Attachment drawer

  • If you try to upload documents or invoices with zero file size, you'll see an error message. This helps you spot those problematic files with a special tag in the Attachment drawer.

  • Once you delete these troublesome files, the Save button becomes active, and you won't see any error messages in the Attachment drawer anymore.

✨ Enhancement to display the last selected sorting option for each section

  • If you change this sorting option, the system will remember and use that preference the next time, when you visit the same category/section. This way, you can have your preferred view saved and won't have to change it every time.
