Asset management allows you to track property items within each inspection area, including their condition, details, and supporting images.
Understand Included vs Pending Assets
Assets move through the following stages:
Added during inspection > Appears as Pending Review
Reviewed in CMS > Approved or rejected
Approved assets > Become Included Assets
Pending assets may still appear in inspection views, but they are not fully registered until approved.
Notes:
Assets must be enabled in Asset Register settings before they are available in inspections
Pending assets must be approved in the CMS before they appear as included assets across the system
View assets in an inspection
When viewing an inspection, each area displays its associated assets.
Open an inspection in the CMS
Navigate to an area where an asset is located, such as the Kitchen or the Lounge
Locate the Assets section under the area
You will see:
Included Assets - Approved assets already linked to the area
Pending Review Assets - Newly added assets awaiting approval
Add or edit assets in edit mode
To manage assets, switch the inspection into edit mode.
Select Edit at the top of the inspection
Navigate to the relevant area
Tick No Assets if none apply
Click + New Asset to add a new asset
Complete the Add New Asset modal
Select Save to add the asset

Update asset details
View asset details
You can view detailed information for any asset.
Navigate to the relevant area
Select the Eye icon next to an asset
Review the asset details, including:
Area, name, manufacturer, and model
Barcode and lifecycle details
Description, notes, and images
Edit an existing asset
If updates are needed, you can edit asset details.
Select Edit at the top of the inspection
Navigate to the relevant area
Select the pencil icon next to the asset
Update the required fields such as:
Asset name or model
Purchase date or maintenance cycle
Description or notes
Upload or remove images if required
Select Save to apply changes
Delete or archive an asset
Assets can be removed if they are no longer required.
Select Edit at the top of the inspection
Navigate to the relevant area
Click the Bin icon next to the asset
Confirm the deletion
Select a reason for deletion
If you select Other, you must provide a custom reason
Select Delete
Note: Assets added within the last 7 days can be deleted. Older assets can only be archived, not deleted.
