About the calendar view
The calendar view gives you a visual schedule of key bookings so you can see who is borrowing which key and when. Coloured status labels on each booking help you quickly identify check‑outs, returns, overdue items, and more.
Why use it?
It’s the fastest way to plan the week ahead, spot clashes, and jump into a booking to make changes.
Note: Before you begin, ensure that Bricks + Agent is enabled to access Key Automate.
Open the calendar view
To open the calendar:
In Key Automate > Click the Calendar icon
At the top-right of the calendar, choose Day, Week, or Month to change the view
Use Today, ‹ / › arrows, or the date picker to move between dates
Tip: The coloured status chips above the calendar provide a quick legend for key statuses (e.g., Check Out, Check In, Ready to Collect, Overdue, Missing).
Understand colour-coded bookings
Bookings are colour‑coded by key status. As the status changes (e.g., from Ready to Collect > Check Out > Check In), the booking’s colour updates automatically on the calendar.
Note: Colours reflect the same statuses you see in the Key Cabinet dashboard, ensuring a consistent view across the product.
Add a booking from the calendar
You can create a booking directly from a date in the calendar. This is ideal for quickly reserving a key for a specific day.
To add a booking:
In Day or Week/Month view, select the target date
Hover over the day > Click + Add Booking in the cell
The Add Booking panel appears > Search/select the property address
Choose Select Key (the key number or identifier)
Set the Checked In dates
Enter a Borrowing Reason (e.g., routine inspection, sales viewing)
In Borrower, search and select an existing borrower
(Optional) Add Notes for staff (e.g., pickup location, special instructions)
Click Save
The booking appears on the calendar and in the Key Cabinet dashboard.
Note: When adding a booking from the calendar, you cannot add a custom borrower during creation. If you need a new borrower record, create the booking first, then open it from the dashboard to add the custom borrower.
Tip: If Save is greyed out, check that the required fields (property, key, dates, borrower) are complete.
