About email settings
Email settings control which email features are available in the CMS, including sending inspection reports, mass emailing, and optional automated reminders. These settings help your office standardise outbound email behaviour and reduce manual follow-up.
Note: Email settings are typically available only to users with the Office Manager role.
Access email settings
Use these steps to open the Email Settings section in the CMS.
Select Settings from the left menu
On the General Settings page, locate the Email Settings panel
In Email Settings, update any of the following:
Enable Email Function
Emailing settings control whether users can send inspection-related emails from the CMS (such as reports or links, depending on your office configuration).
Turn on emailing
Toggle the setting:
On to allow staff to send emails from the CMS
Off to prevent staff from sending emails from the CMS
Tip: Turn this on only if your office is ready to manage email templates, sender addresses, and consistent messaging.
Enable Mass Email Function
Mass email options control whether staff can send emails in bulk (for example, to multiple recipients) and whether BCC sending is available.
Enable mass email
Toggle the setting:
On to allow mass emailing
Off to disable mass emailing
Enable BCC for mass email (optional)
Toggle the setting:
On to send mass emails using BCC
Off to send without BCC
Note: Using BCC can reduce accidental “reply all” chains and help protect recipient privacy.
Enable Tenant Assisted Inspection (TAI) reminder emails (optional)
TAI reminder settings control whether automated reminder emails can be sent for Tenant Assisted Inspections (where this feature is used by your office).
Turn on TAI reminder emails
Toggle the setting:
On to allow TAI reminder emails
Off to disable TAI reminder emails
Tip: If you enable reminders, ensure your inspection scheduling process is consistent so reminders go out at the right time.
Enable E-Card to tenant on routine completion (optional)
This setting controls whether tenants receive an E-Card after a routine inspection is completed, if your office uses E-Cards.
Turn on routine completion E-Cards
Toggle the setting:
On to send E-Cards automatically when routine inspections are completed
Off to prevent automatic E-Card sending
Manage the Email Address List (approved sender addresses)
The Email Address List lets your office control which sender addresses are available to staff when sending emails from the CMS. This helps maintain consistent branding and reduces the risk of emails being sent from personal addresses.
Add an email address to the list
Enter the email address you want staff to use (for example, rentals@youragency.com.au)
Select Add
Enter the email address you want staff to use (for example, rentals@youragency.com.au)
Remove an email address from the list
In the email address list, locate the email address
Select the delete (bin) icon
Select Delete in the confirmation window
Tip: Use role-based addresses (for example, inspections@…) instead of individual inboxes to reduce disruption when staff change roles.
