About TAIs in the Inspection Manager CMS
A Tenant Assisted Inspection (TAI) lets you generate a link that the tenant can use to complete their inspection steps remotely. In the CMS, you start this process from a Routine inspection that is already in Pending status.
Note: If TAI is not enabled for your office, you cannot complete the steps in this article. Learn how to request activation of Tenant Assisted Inspection (TAI) and complete the necessary setup in Inspection Manager.
Request a TAI
Before requesting a TAI, make sure the inspection has already been created as a Routine inspection and that the inspection status is Pending. This is the starting point for the TAI workflow in the CMS.
To generate the TAI link from the inspection list:
Find the routine inspection you want to send to the tenant or
Confirm the inspection is in Pending status
Click Request TAI for that inspection
Review the pop-up window that appears. The system will generate a unique TAI link for the property and give you two sending options
Send the TAI link from another system
Choose this option if you want to send the TAI link from your office email client or trust accounting system rather than from Inspection Manager.
In the pop-up window, copy the generated TAI link
Click Sent from Other System
Paste the link into your office email client or trust accounting system
Send the email to the tenant from that external system
Note: Using this option moves the inspection into Tenant Routine status.
Tip: If your agency prefers centralised communication records in another platform, this option may suit your process better. This article only covers sending a single TAI request. A separate bulk-send workflow also exists.
Send the TAI email from Inspection Manager
Choose this option to send the request from the CMS using an Inspection Manager email template.
In the pop-up window, click Send from IM
In the email window, review the Send From and To fields
If needed, select whether to Bcc Sender
Enter or review the Subject
Select the email Template you want to use
If required, choose a Font Size
Review the email message and update the content if needed. Mail merge fields such as tenant name, address, and inspection date can be used in the template
Click Send Email(s)
Tip: Review the tenant’s email address before sending to make sure the request is delivered to the correct recipient. The email screen displays the recipient details before you send the message.
After you send the email from Inspection Manager, the system displays a confirmation message to show that the email has been sent.
Select OK in the email sent confirmation window
After you send the TAI email, the inspection status changes from Routine to T Routine.
