About reporting settings
Reporting settings control what your office can customise in report templates, and which sections appear by default on inspection reports. These options help standardise report output and reduce per-report setup work for staff.
Note: This section is typically available only to users with the Office Manager role.
Access reporting settings
Use these steps to open the reporting section in the CMS.
Select Settings from the left menu
On the General Settings page, locate the Reporting settings panel
In Reporting, update any of the following:
Enable the cover page template
When enabled, users can customise a cover page for inspection reports.
Turn on the cover page option
Toggle the setting:
On to display a Cover Page section to customise the cover page of the inspection report
Off to hide the Cover Page customisation option
Tip: Enable this if your office wants a consistent branded cover page across reports.
Application of comments from photos to Area/Items
These settings control whether comments added to photos can also be applied to the area or item the image is assigned to, and whether that application happens automatically.
Allow photo comments to apply to Areas and Items
In Reporting, locate Application of comments from photos to Area/Items
Toggle the setting:
On to allow a comment added to a photo to also be applied to the Area/Item the photo is assigned to
Off to keep photo comments attached only to the photo
Note: When this setting is set to Off, the automatic option is unavailable.
Automatic application of comments from photos to Area/Items
This setting controls whether image comments are applied automatically to the assigned area or item.
Turn on automatic application
Toggle Application of comments from photos to Area/Items to On (this must be enabled first)
Locate Automatic Application of comments from photos to Area/Items
Toggle the setting:
On to automatically apply photo comments to the assigned Area or Item
Off to require manual application
Note: If this option is greyed out (disabled), it may depend on another setting (such as the parent photo comment setting), your account configuration, or feature availability.
Enable maintenance request section on report by default
This setting controls whether maintenance requests are shown on reports by default across properties, while still allowing per-report control.
Enable maintenance requests by default
Toggle the setting:
On to show maintenance requests on the Inspection Report by default for all properties
Off to keep maintenance requests off by default
(Optional) For individual properties or reports, users can still toggle this section on or off when generating the report
Tip: If your office wants maintenance requests consistently visible to owners, enable this setting to reduce missed items.
Enable AI Summary & Comparison (if available)
AI Summary & Comparison adds an AI-generated summary of key findings and a comparison view when report data supports it.
Turn on AI Summary & Comparison
Toggle the setting:
On to include an AI-generated summary and a comparison view (for example, changes since the last inspection where data is available)
Off to exclude AI summary content from reporting
Note: If comparison information is not available for a property, the comparison output may be limited.
Edit Report Settings
Use the landlord report edit panel to control configurable report elements intended for landlords.
Open the landlord report edit panel
Select Open Edit Panel
Make the required changes in the edit panel
Select Close when done editing
Note: Legislation and compliance requirements may restrict what can be changed in landlord-facing reports.
Edit Tenant Report Settings
Use the tenant report edit panel to control configurable report elements intended for tenants (typically for routine inspections).
Open the tenant report edit panel
Select Open Edit Panel
Make the required changes in the edit panel
Select Close when done editing
Note: If you do not see Edit Tenant Report Settings and your office wants tenant reports, request that tenant reports be enabled for your account.
