About last inspection data settings
Last Inspection Data lets your team preview and optionally reuse conditions, comments, and photos from the most recent closed inspection when creating a new inspection for the same property. You can also enable Quick Selection to apply previous items to an area faster.
Note: This section is typically available only to users with the Office Manager role.
Access Last Inspection Data settings
Use these steps to open the Last Inspection Data section in the CMS.
Select Settings from the left menu
On the General Settings page, locate Last Inspection Data settings panel
In Last Inspection Data, update any of the following:
Enable Last Inspection Data for your office
Enable Feature turns Last Inspection Data on for your office. When enabled, staff can choose what to preview and reuse when creating a new inspection (based on the settings you allow for each data type).
Turn on Last Inspection Data
In Last Inspection Data, toggle Enable Feature to On
Configure Conditions, Comments, and Photos as needed (see the sections below)
Configure Conditions options
Use these settings to control how staff can preview and reuse conditions from the last inspection.
Set Conditions behaviour
Under Conditions, toggle Enable Selection in CMS to allow staff to select whether they want to preview last inspection conditions when creating an inspection in the CMS
Toggle Allow Re-Use to allow staff to reuse an existing condition in a new report
Toggle Enable Quick Selection of Conditions to let staff apply all previous conditions to an area with one tap, instead of committing each condition individually
Tip: Enable Quick Selection if your team regularly applies prior inspection details across many areas.
Configure Comments options
Use these settings to control how staff can preview and reuse comments from the last inspection.
Set Comments behaviour
Under Comments, toggle Enable Selection in CMS to allow staff to enable the preview of comments from the last inspection when creating an inspection in the CMS. If you do not want staff to preview previous comments, turn this off
Toggle Allow Re-Use to allow staff to recommit an old comment to a new report. If you want staff to preview comments but still require new comments each time, turn this off
Toggle Enable Quick Selection of Comments to allow staff to apply all previous comments to an area with one button tap, instead of previewing and recommitting each comment individually. This is done on a per area level
Note: Allow Re-Use controls whether users can commit previous comments into a new report, not just view them.
Configure Photos options
Use these settings to control how staff can preview and reuse photos from the last inspection.
Set Photos behaviour
Under Photos, toggle Enable Selection in CMS to allow staff to enable the preview of photos from the last inspection when creating an inspection in the CMS. If you do not want staff to preview photos (for example, due to data limitations), turn this off
Toggle Allow Re-Use to allow staff to recommit an old photo to a new report. If you want staff to preview photos but still require new photos each time, turn this off
Toggle Enable Quick Selection of Photos to allow staff to apply all previous photos to an area with one button tap, instead of previewing and recommitting each photo individually. This is done on a per area level
Tip: If your office wants to reduce mobile data usage, consider turning off photo preview and reuse while keeping conditions and comments enabled.
