About emailing inspection reports to landlords

In Inspection Manager, you email an inspection report from the report view after selecting View Report for an inspection.

The steps differ slightly depending on whether the inspection is in Closed status or Completed status, so this article separates the workflows.

Before you start

  • The report opens in a new browser tab, so allow pop-ups if needed

  • If you need to email additional landlords, ensure they are already added to the property profile. The email screen can only select from landlords linked to the property


Open the inspection report (completed or closed)

You must open the report first, then choose the relevant email action from within the report tab.

  • Go to: Inspections

  • Find the inspection with Completed or Closed status

  • Select View Report

  • In the new browser tab, review the report to confirm all information is correct


Email a report for a closed inspection

When an inspection is already closed, you can email the report using the Resend option in the report toolbar.

  • With the report open, select Resend at the top

  • If you need to email more than one landlord, select + New Email to add another email section

  • Open the Existing Landlords drop-down and tick the landlord or landlords you want to email

  • (Optional) Choose an Email Template (if available)

  • In Send email from, select who the email should come from (details in the next section)

  • Select Send Email

Tip: If you only need to email one landlord, you can skip + New Email and just email the default landlord recipient.


Email a report for a completed inspection

If an inspection is in Completed status, you may need to close it first. Closing displays the panel where you set the dates and trigger the email action.

  • With the report open, select Close Inspection

  • Select the Date of Signature

  • Select the Date Inspection Completed

  • Select Send

  • Continue with the email steps:

    • (Optional) Select + New Email to add another email section

    • Open Existing Landlords and tick additional landlords to include

    • (Optional) Select an Email Template

    • Choose an option in Send email from

  • Select Send Email


Choose who to send the email from

The Send email from setting controls the sender shown to the landlord.

  • In Send email from, select one of the following options:

    • Me - Sends from the email address associated with your own login

    • Property Manager(s) - Sends from the property manager assigned to the property in Inspection Manager (useful when an assistant emails on behalf of the property manager)

    • Select A User - Sends from another user in your office. A second drop-down appears to select the user

    • Office Email - Sends from an office email saved in your office CMS settings. A second drop-down appears to select the office email user

Tip: If you are unsure whether your office email has been configured, check the settings before using this option.
