This article covers:
About emailing a routine or outgoing inspection report to a tenant
You email a tenant-facing version of the report (called Tenant Copy) from the Inspections list after the inspection is closed.
The Tenant Copy opens in a new browser tab, so you may need to allow pop-ups in your browser.
Before you begin
Confirm the inspection you want to send is in Closed status (Routine or Outgoing)
Ensure pop-ups are allowed, as the report opens in a new tab
If you plan to use an email template, make sure one is set up in Settings > Email Templates
Find the closed inspection in the Inspections list
This workflow starts from the Inspections list, where you can locate the inspection and access the Tenant Copy option.
Select Inspections on the left-hand menu
Locate the relevant Closed routine or outgoing inspection (use filters if needed)
Tip: If you cannot see the inspection you expect, check the status filter and date range filters at the top of the Inspections list.
Open the Tenant Copy from the inspection row
From the inspection row, use the View Report drop-down to open the tenant version of the report.
Find the inspection row, then select the drop-down arrow next to View Report
Select Tenant Copy
In the new browser tab, review the Tenant Copy to confirm it shows what you want the tenant to receive
Send the Tenant Copy email
Once the Tenant Copy opens, you can send it via the send action in the report view.
Select Send
(Optional) Select BCC me? if you want a copy of the email
(Optional) Select Select Email Template, then choose the template you want to use
(Optional) Select Edit to make manual changes to the email content before sending
In Send email from, select who the email should come from (details in the next section)
Select Send Email
Choose who to send the email from
The Send email from setting controls the sender shown to the recipient.
In Send email from, select one of the following options:
Me - Sends from the email address associated with your own login
Property Manager(s) - Sends from the property manager assigned to the property in Inspection Manager (useful when an assistant emails on behalf of the property manager)
Select A User - Sends from another user in your office. A second drop-down appears to select the user
Office Email - Sends from an office email saved in your office CMS settings. A second drop-down appears to select the office email user
Tip: If you are unsure whether an office email has been configured, check your office CMS settings before using this option.
Edit what the tenant will see on the report
Inspection Manager lets you control what appears in the Tenant Copy by updating the tenant report settings.
Go to: Settings
Scroll to Reporting
Next to Edit Tenant Report Settings, select Open Edit Panel
Note: If you do not see Edit Tenant Report Settings, contact support, as this may not be enabled for your account.
