About the Inspection Manager workflow

Inspection Manager operates in two parts: the CMS, where inspections are created and managed, and the mobile app, where inspections are completed and then synced back to the CMS. (CMS > App > CMS). Depending on your office setup, inspections may be created automatically through an integration or manually in the CMS.

Step 1: Check that the inspection exists in the CMS

Before you open the inspection in the app, ensure it has already been created in the CMS. If your office does not use an integration, you may need to create the inspection manually.

Step 2: Refresh the inspection list in the app

The app does not automatically download newly created or updated inspections. To see the latest information from the CMS, you need to manually refresh the inspection list.

  • Open and sign in to the Proptech Labs Property Manager app

  • Go to the Inspections list screen

  • Pull down on the inspection list until it refreshes

  • Alternatively, sign out and sign back into the app

  • Check that the inspection now appears in the list

Note: Refreshing the inspection list can also update other information from the CMS, such as inspection changes, predictive phrases, and photo limit settings.

Tip: If the inspection does not appear after refreshing, check in the CMS that it has been created and assigned correctly.

Step 3: Complete the inspection in the app

Once the inspection appears in the app, you can open it and complete it on your mobile device. Before you begin, you can review the property details from the property profile screen.

  • Tap the inspection in the app

  • Review the property information on the property profile screen

  • Tap 360 Inspection or Standard Inspection to begin

  • Complete the inspection details for each area as needed

  • When finished, tap Sync Now or Sync Later

Step 4: Sync the inspection back to the CMS

After you complete the inspection in the app, sync it to send the completed data back to the CMS. Once the sync is complete, you can return to the CMS to review, edit, close, email, or download the report.

  • Open the Sync screen in the app

  • Select the inspection you want to sync

  • Tap Sync Now

  • Wait for the inspection to move to the synced section

  • Return to the CMS to review, edit, close, email, or download the report

Note: It is recommended to promptly sync completed inspections back to the CMS. Leaving inspections unsynced on the device for too long can strain storage and increase the risk of data loss.
