How to complete your Ingoing Report [PC/Laptop]

This article will explain how a tenant can complete and sign their Ingoing Inspection and send it back to the Property Manager.

Note: Each section will be locked until you click "I ACKNOWLEDGE." This is a step-by-step process, so you need to finish the previous step to progress to the next part of the report.

Section 1:

Clicking the link in the email will open to the first page of the report, which will require you to acknowledge that all the information is correct.

You should make sure that the Property Address, Tenant Name(s), and Lease Start date are all correct. If they are incorrect, please stop and contact your Property Manager.

If they are correct, then click on "I ACKNOWLEDGE" to continue.


Section 2:

The second section displays all the information regarding Utilities on the Property as well as State Legislative checks that need to be done by the Property Manager. Depending on the State you are in, you as a Tenant have the option to either 'Agree', 'Disagree' or just 'Acknowledge' the fields in this section.

Additional Comments Field: It is important to note that the Additional Comments box cannot be edited in Section 2. Once you reach Section 4 and click 'Ready to sign' you will then be asked if you have any additional comments, any comment added here will be applied to the additional comment box in Section 2.


Section 3:

The third section will display the Property Layout. You will need to go through and either 'Agree' or 'Disagree' with the condition of an Area/Item.

  • If you Agree with the Property Managers Condition of the area, click 'Agree' then the whole Area will be marked as 'Y' Tenant Agrees and it will automatically move to the next Area.

  • If you 'Disagree' with the condition of an Area, you will have the opportunity to add Comments and photos.

    Firstly click 'I Disagree' and the whole Area will be marked as 'Y' for "Tenant Agrees", however you can then change the Items you Disagree with to 'N' for "I Disagree".


  • Once you click 'N' on the condition code beside the tenant comments fields. You will need to add Comments and Photos before you can 'Save' your Disagreements.

    You can type in a Comment in the box next to the 'N' selected and click the green 'Camera' icon, locate and select the image and click 'Open' to upload a photo from your computer.

Photos uploaded should be JPG and PNG format only and should not be located on a Cloud Drive or a ZIP file otherwise the photo will not upload.


Secton 4:

This is the final section of the report.

  • You may view all photos in full, once you scroll to the bottom of the last page you will see the option 'Ready to sign' change from Grey to Green.

  • Once you click 'Ready to sign' you will be presented with a pop-up with the title 'Additional Comments', any comment added here will be applied to the Additional Comments box in Section 2. You may also skip this by clicking 'Proceed to Signature'.

  • Once you click 'Proceed to signature' you will need to click on the 'Click to sign' box and apply your signature in the box provided.

It is important to note that if there is more than one signature box for more than one tenant that all tenants should sign before the inspection is finalised.

  • Once you click 'Save' for your signature you will be asked to 'Confirm to add this signature to each page of the inspection report that you have just reviewed.' simply click 'Confirm' to proceed.

  • If there is more than one tenant you will then see a 'Tenant 2:' box that should also be signed before finalising.

  • If you attempt to 'Finalise Report' before all tenants have signed the inspection you will see the notification 'Report is not yet signed by all tenants.' 'Are you sure you want to finalise this report?', if you click 'NO' it will not finalise and give you the opportunity to have all tenants sign. However if you click 'YES' then the report will finalise and send to the Property Manager with only the one tenants signature and edits.

  • You then need to wait for the inspection to finalise before closing the window, once it finishes loading you can close the window.
