What is the difference between private and public notes, and how do you create each?

Notes are set to private by default. However, if required, you can share with all users as well.

All the Private Notes added by you will be shared within the organisation, and all the Public Notes added by you should be visible to the outsiders of the organisation.

To make notes visible to the public, open up the job card you wish to add notes and go to the Notes tab > Add a Note > Untick 'Mark note as Private.'

How do I create draft jobs and edit them from this stage?

To create a draft job, On the Job Dashboard, click > Post a Job > Select how did you receive the maintenance request > fill out all the information about the maintenance request as well as any attachments relevant to it > Save as Draft.

Can I still edit a tenant-posted job? How?

From the Job Dashboard, open up a tenant-posted job you wish to edit > Click on the Job Edit button on the bottom left corner of the job card > Click on the pencil icon beside each field to edit.

How do I deactivate a job?

From the Job Dashboard, go into the job card for the job you wish to deactivate, and down the bottom, you will see the 'Deactivate Job' function, sometimes this can be under the 'More' button.

Once clicked, you will then be required to provide a reason for the deactivation into the box that appears and click 'Yes.'

How do I re-award a job?

From the Job Dashboard, open up a job you wish to re-award and down the bottom left will be the 'Re-Award' button.

Once you click 'Re-Award Job', you can select a trade person and review their details, and click 'OK.' You will then receive a notification saying that the job has been sent out.

Please note that once you have re-awarded the job to another trade, this will automatically send a cancellation email out to the original trade.

How do I reject a job?

Open up a job you wish to reject, On the click of the red 'Reject' button at the bottom of the page, you will be prompted to provide a reason as to why you are rejecting the job and click 'Reject.'

How do I add and request variations?

To add a variation, from the Job Dashboard, open up a job you wish to add job variation. Click on the 'Add Job Variation' action available on the job detail. You will see a box indicating what the job is. You can then add the following information, where relevant:

  • Specify a Valuation Budget

  • Add a Description

  • Add attachments related to the variation request

Once the variation is added for a maintenance request, the job will be moved to the 'Variation Jobs' category, and the respective trade will be notified to review the variation and approve it.

How do I reject quotes?

Open up a quote you wish to reject. On clicking the 'Reject' button on the right-hand side of the job card, you will be prompted to provide a reason for rejecting the quote. Click 'Reject', and the status will be displayed on the quote.

How do I switch jobs from paid to warranty?

Open up a job you wish to switch from paid to warranty, click on 'More', and Select 'Switch Job', You will be asked, "Are you sure you want to switch the job from paid to warranty?" Click, 'Yes.'

Can I download a copy of the work order?

Yes, open up a job you wish to download a work order, click on 'More', select 'Work Order', and click 'Download as PDF' on the bottom left corner of the page.

How does an invoice get paid when a job is complete?

Once the trade has completed the job from their side and uploaded the invoice, the job will move into your dashboard and will show as an invoice review. You can click on this job and approve the invoice.

Once the invoice has been approved, it will sync back into your main database, ready for the agency to pay during their next payment run.

Can we set up recurring maintenance, e.g., pool maintenance, monthly gardening, etc.?

Yes, you can enter a monthly recurrence when creating or editing a job under the Recurring type (visible in Standard view).

What do you do if the owner wants to handle a maintenance job?

If you want to use Owner Attending, you can click on Invite Trades and select 'Strata or External' and select the 'Owner Attending" checkbox. It will push it into an external job and send a work order through to your owner.

You can deselect 'Tenant Details' if you don't want the owner to have that information. Select the Owners emails and select to email the work order out. The job will be completed.

How do trades receive work orders for recurring jobs?

The Trade will receive a Work Order as per the frequency entered on the job, e.g. If it is set to monthly, the trade will receive one work order per month on the same date each month, from the day the job was posted.

Can property managers and users see all maintenance jobs or just their own?

Users can set themselves up to view their maintenance jobs by clicking on Select Team > Current User > Save.

They can also view other maintenance jobs by selecting the user(s) from the list and clicking Save.
