Summary
Learn how Sync Settings work in Inspection Manager and what they control for integrated accounts.
This article covers:
About sync settings (integrations)
Sync settings control how Inspection Manager creates upcoming inspections from an integrated system and how certain information is handled during the sync process. Available options vary depending on the integration enabled for your office.
Note: This section is typically available only to users with the Office Manager role.
Access sync settings
Use these steps to open the sync settings section in the CMS.
Select Settings from the left menu
On the General Settings page, locate the Sync Settings panel
In Sync Settings, update any of the following:
Set the inspection creation window
Inspection creation windows determine which inspections are created (or pulled through) into Inspection Manager based on how far in the future or sometimes in the past the inspection date falls.
Configure Inspection Creation Days Future
Configure “Days Future”
In your sync section, locate Inspection Creation Days Future (label may include the integration name)
Select the forward window your office uses. Common options include 7, 15, 30, or 60 Days
Tip: If inspections are not appearing, confirm the inspection date in the source system falls inside your “Days Future” window.
Keep reassigned inspections from reverting (task-based office)
Task Based Office helps prevent reassigned inspections from reverting to the originally assigned user during the next sync.
Configure Task Based Office
Toggle the setting:
On to allow reassignment to remain as set in Inspection Manager after syncing
Off if you want assignment to continue following the source system rules
Tip: Enable this if your office frequently reassigns inspections due to leave or workload balancing.
Choose default Last Inspection Data behaviour during sync (if available)
Some integrations allow you to preselect which Last Inspection Data (LID) types are copied by default when inspections are created or updated via sync.
Configure automatic LID defaults
Locate Sync Automatic LID Setting for inspections (wording may vary)
Toggle the setting On (if required) to enable default copying
Select which LID types to copy by default:
Conditions
Comments
Photos
Note: This sets defaults for synced inspections. Users may still be able to adjust Last Inspection Data behaviour when creating or conducting inspections, depending on your office settings.
Set LID copy rules by inspection type (if shown)
Some integration sync panels include drop-down lists to control how Last Inspection Data (LID) is applied for each inspection type.
Configure copy rules (if available)
Under Ingoing, open the drop-down and choose one of the following:
Copy from Ingoing to load data from the previous ingoing inspection
Copy from Outgoing to load data from the previous outgoing inspection
Disabled to prevent LID loading for ingoing inspections
Under Outgoing, open the drop-down and choose one of the following:
Copy from Ingoing to load data from the previous ingoing inspection
Copy from Outgoing to load data from the previous outgoing inspection
Disabled to prevent LID loading for outgoing inspections
Under Routine, open the drop-down and choose one of the following:
Enabled to allow routine inspections to copy data from previous routine inspections
Disabled to prevent routine inspections from copying previous routine data
Repeat for each inspection type shown, then review your choices to ensure they match your office workflow
Tip: Keep rules consistent unless your workflow requires a different source (for example, outgoing copying from outgoing only).
Choose who receives sync result emails
Sync result emails help your office track whether syncs succeed and identify issues quickly.
Configure sync email recipients
Locate Who should receive your emails about sync results?
Begin typing a user name, then select the user from the list to add them as a recipient
Repeat to add additional recipients
Note: If you remove all recipients, sync result emails may not be sent to anyone.
