Learn how to check why an inspection is not appearing in Inspection Manager and what to do if the inspection was deleted, created under the wrong type, assigned to another user, or not created yet.

This article covers:

About missing inspections in Inspection Manager

If you cannot find an inspection in Inspection Manager, the inspection may have been deleted, created under a different inspection type, assigned to another user, linked to a different property, or not created yet. The original article also notes that address spelling can affect search results because the system may only return results that match the address text entered.

Use the checks below to help locate the inspection before contacting support.

Check whether the inspection was deleted

Deleted inspections may be available from the Recycle Bin.

  • Sign in to Inspection Manager

  • Select Recycle Bin from the left-hand side menu

  • Search for the property address or inspection

  • If the deleted inspection appears, select Restore

  • Return to the inspections list and search for the inspection again

Check whether the inspection was created under the wrong type

An inspection may not appear where expected if it was created as a different inspection type, such as ingoing, routine, or outgoing.

  • Go to: Inspections

  • Check each inspection type filter, such as Ingoing, Routine, and Outgoing

  • Search for the property address

  • Select the pencil icon

  • Edit the inspection type, if available

  • Select Save

Note: Only Pending inspections have the option to change the inspection type. If the inspection type cannot be changed, contact Support for help before deleting or recreating the inspection.

Check whether the inspection was completed under the wrong type

If the inspection has already been completed under the wrong type, the best option depends on whether inspection data has been added. It’s recommended to recreate the inspection if no data has been added or if the user is willing to re-enter the data.

  • Go to: Inspections

  • Open the completed inspection

  • Confirm whether any inspection data, photos, notes, or report details have been added

  • If no important data has been added, delete the incorrect inspection and create a new inspection with the correct type

  • If the inspection contains data you need to keep, do not delete the inspection

  • Contact support for help with the best next step

Tip: Create LID (Last Inspection Data) from a completed inspection and contact support if the inspection should be removed afterwards.

Search using part of the address

If a property address contains spelling errors or inconsistent spacing, searching the full address may not return the expected inspection. For example, searching for “123 Example Street" may not find a property saved as "12 3 Example Street.”

  • Go to: the search box at the top of the page

  • Enter part of the address instead of the full address

  • Use a unique section of the address, such as the street name or street number

  • Review the search results for similar or incorrectly formatted addresses

  • Open the matching inspection or property

Tip: If you are unsure how the address was entered, search for the shortest unique part of the address.

Check whether the inspection is assigned to another user

If your account only shows inspections assigned to you, the inspection may be assigned to another user.

  • Clear any inspector filters on the inspections list, if available

  • Search for the property address again

  • Check whether the inspection appears under another inspector or property manager

  • If you still cannot find the inspection, contact support and include the property address, inspection date, and expected inspection type

Check whether the inspection was completed for the wrong property

An inspection may be missing from the expected property if the inspection was accidentally completed for a different address.

  • Search for similar addresses or nearby property records

  • Check recently completed inspections for the same date or inspector

  • If you find the inspection under the wrong property, do not delete it

  • Contact support and provide:

    • The incorrect property address

    • The correct property address

    • The inspection type

    • The inspection date

    • The inspector's name, if known

Check whether the inspection has been created

If the inspection does not exist yet, it may not have been created manually or synced from your integrated system. Inspection Manager integrates with a range of trust accounting software, so offices using integrations should check whether the inspection is set up correctly in the connected system.

  • Confirm whether your office uses an integration

  • If your office uses an integration, check the connected system to confirm:

    • The property exists

    • The inspection has been created or scheduled

    • The inspection details are complete

    • The integration is syncing

  • If the inspection is set up correctly in the connected system but does not appear in Inspection Manager, contact support

  • If your office does not use an integration, create the inspection manually in Inspection Manager
