About Tenant Assisted Inspection (TAI)
Tenant Assisted Inspection (TAI) lets your office send inspections to tenants to complete or review. To activate TAI, you must submit a request form and complete two prerequisites first:
Emails enabled
SPF records added
Request TAI activation
Start the activation process by submitting the TAI request form. After you submit the form, the team checks your office and advises what is required next.
Open the TAI Request Form
Complete and submit the form
Wait for the support team to confirm what needs to be done next for your office
Note: TAI cannot be activated until the prerequisites in this article are completed.
Enable email settings in your office
Emails must be enabled in Office Settings. Without this, you cannot email inspections from Inspection Manager, including TAI invitations and reminders.
Select Settings in the left menu
Scroll to Email Settings
Turn on the following options:
Enable Email Function
Enable Mass Email Function
Enable Mass Email Function Bcc
Enable TAI Reminder Email Function
Tip: If you cannot see Email Settings, confirm you have the correct permissions for your office settings.
Add SPF records (DNS change required)
SPF is a DNS TXT record that helps mail servers verify authorised senders for your domain. This is managed by your organisation’s IT team or DNS hosting provider, not in Inspection Manager.
Provide these SPF details to your IT/hosting team:
Add the following mechanisms to your domain’s SPF TXT record:
a:spf.inspectionmanager.com
a:spf.propertyspace.com
Note: Most organisations already have an SPF record (a TXT record starting with v=spf1). Your IT team should update the existing SPF record, not create a second one. Publishing multiple SPF records for the same hostname can cause SPF evaluation errors and reduce email deliverability.
Tip: SPF has a limit on DNS lookups during evaluation (commonly referenced as 10 lookups). Your IT team should validate the SPF record after updating it to ensure it remains within limits.
Notify Support after updating SPF
After the SPF record has been updated, email the following details so the team can proceed with activation:
Include your office name
Confirm that the SPF record has been added or updated
Note: Once these steps are completed, support will contact you to confirm that the TAI feature has been activated for your office.
