How to Add New Tenant and Update on Completed Inspection
Updated over 10 months ago

Occasionally you go out to a property to conduct an ingoing inspection, only to realise that the wrong tenant is associated with the inspection. This is a simple enough fix once you get back to the office.

You must first search your property on the CMS using the search bar located at the top of the CMS.

Then select the pencil icon on the right of the property to enter edit mode.

Once in edit mode, select '+ Add New Tenancy'.

πŸ“ Take note: Please do not edit an existing tenancy and replace it with a new tenancy. It is always better to add a new tenancy for a new tenant. Editing one tenancy and replacing the information with new tenant details can cause issues.

If a tenancy already exists on the property, you will be prompted on whether you wish to archive them or not. In most cases you would select yes, the choice is yours.

From this screen, you need to fill out all of the information required for the Tenancy.

Tenancy Section

All Tenant Names should be added to the 'Full Name' field.

Only the Main Tenant's Email and Mobile should be added to the 'Email' and 'Mobile' fields.

Lease Section

Add in 'Lease Start' and 'Lease End' dates, along with 'Current Rent' and Rent Period/Frequency.

Tenants On Lease

You must add in all Tenants that are on the list, including the Main Tenant.

Please be careful to make sure that you are entering in the correct names, emails, mobiles, lease dates and current rent amounts.

If any of these details are incorrect, it can cause issues for tenants in future when they are attempting to conduct their inspections. Add all of the tenants that will be on the lease in this section and once you are done press 'Save Property'.

To add a tenant to a property, click 'View Report' on the right of your completed ingoing inspection.

Then click the 'Edit' icon at the top of the report.

Then click on the 'Pencil/Paper' icon to the right of the tenant name(s).

A pop-up window will appear; simply click on the new tenant's name and then click on 'Done'.

Now, in order to reflect these changes on the app, all that is needed is to sign out of the app and then sign back in or pull down your inspection list to refresh it. The new tenant(s) will now appear on the inspection details screen and the tenant induction/paperless handover screen.
