About general settings
General settings centralise your agency‑wide behaviour for invoice intake, processing, notifications, page‑count rules, and partner integrations. Use this area to enable/disable features globally and set sensible defaults for your team and owners.
Tip: Make changes during a quiet period so you can test a few invoices end‑to‑end (forwarding > capture > approval > sync) before rolling out to all staff.

Set up the email invoicing inbox
Use this to tell Invoice Automate which email addresses will forward PDF invoices into your account.
Toggle Email Invoicing Inbox to On
In the email(s) text box, enter every email address that will forward invoices (comma‑separated, no spaces)
Optionally, ask IT to add an auto‑forward rule from your agency’s (for example, accounts payable) mailbox to invoices@invoiceautomate.com
Click Save

Restrict reminders to property managers
Limit automated reminders so only assigned property managers receive them (useful in larger teams).
Toggle Restrict reminders to property managers to On
Click Save
Enable reviewing image attachments received via email
Route image‑only invoice emails to a nominated user for manual review before processing.
Toggle Enable reviewing image attachments received via Email to On
From the Select User dropdown, choose the reviewer
Click Save
Tip: Use this if some suppliers send photos or image‑heavy statements that need human review before OCR.
Omit vacated tenants from tenancy invoice charges
Prevent auto‑creation of tenancy invoices for vacated tenancies.
Toggle Omit Vacated Tenant from tenant invoice charges to On

Number of pages for invoice scanning
Control the maximum number of pages IA will scan automatically before flagging a document.
Set Number of pages for invoice scanning (e.g., 3)

Enable consumption benchmarking
Automatically flag unusual increases in recurring bills (e.g., water).
Toggle Enable the consumption benchmarking to On
Enter a % increase threshold (e.g., 10%)
Click Save
When a new bill for the same property + creditor exceeds the last bill by your threshold, Invoice Automate tags the bill to alert reviewers (useful for identifying leaks).
Notify owner when an invoice is received
Automatically inform owners when a property invoice arrives.
Toggle Notify owner to On
Click Save
Tip: Pair with daily summary emails (below) so owners get periodic reminders rather than many single notifications.
Notify the owner when the property is vacant (invoice received)
Warn owners when invoices arrive for a vacant property (possible funds shortfall).

(Optional) Customise the message in the editor
Click Save
Enable the preset tenancy due date
Set the default “days to pay” for tenancy invoices created in Invoice Automate.
Toggle Enable the preset tenancy due date to On
Enter Number of days (e.g., 14)
This will be the due date for the tenancy invoice when it is synced back to the property management software.

Enable the commercial water invoice upload
Create and apply invoice tags for commercial water workflows if you use MRI Property Tree.

In Invoice Tag(s), add tag(s) you want IA to send with invoices (comma‑separated)

Enter the reason to override PM to take action on invoices
Allow users to approve invoices even when a PM is assigned and capture a reason.

Sync water meter readings captured in Inspection Manager back to your property management software via API integration.

Email a daily summary of upcoming invoice reminders to a designated address (PM‑facing).

Enter the number of days before the end date to trigger the notification (e.g., 30)

Enable invoices from water authorities (Sydney/SA Water)
Auto‑read and extract details from specific water authority emails forwarded via the inbox.

In Email Subject, paste the exact subject line used by the authority’s emails (e.g., Sydney Water daily eBill zip notifications)
If your authority requires an authentication code or portal activation, complete their onboarding steps first
