How to Email a Routine or Outgoing inspection to a Tenant

How to Edit what the Tenant will see

If you wish to alter what the tenant will see on the report you can do this by navigating to 'Settings' then scroll down the page until you see 'Reporting' and then next to 'Edit Tenant Report Settings' click 'Open Edit Panel'.

Once you have the settings the way you want them continue to STEP 1.


How to Email a Routine or Outgoing to a Tenant


STEP 1: Ensure that the Routine or Outgoing inspection is in 'Closed' status.


STEP 2: Click on the drop-down arrow on the right of the words 'View Report' and then click on 'Tenant Copy'.


STEP 3: Once the Tenant Copy of the inspection opens up on anther tab you can then click the green 'Send' option.


STEP 4: You will then need to select who you would like to send the report from.

'Me' will email from your own login.


'Property Manager(s)' will email from the property manager that is on the property in Inspection Manager, useful if an assistant is emailing on behalf of the property manager.

'Select A User' will email from another user in your office. You will see another drop-down appear if you select this option.

'Office Email' will email from a saved office email within your office's CMS settings. This can be found under 'Settings > General Settings Tab > Email Settings' section. You will also see another drop-down if this option is selected.


Once you have selected who you would like to send the report from you can then click the drop-down 'Select Email Template' and select the template you wish to use.

(If you do not have an email template set up for your account navigate to 'Settings>Email Templates' and proceed to set up an Email Template).


Once you have selected your email template you are able to leave it as it is or you can make manually added edits to the email by clicking the green 'Edit' option.


You can choose to select the checkbox for 'BCC me?' if you wish to receive a copy of the email being sent.


Once you are happy with the selections you have made you can click 'Send Email' to send the email to the landlord.
