About inspection statuses

Inspection statuses tell you where an inspection is in its lifecycle, from creation through to syncing, tenant review, and finalisation. Understanding statuses helps you avoid lost work (for example, inspections only stored on a device) and ensures you know when you can still edit a report.

Where to view an inspection’s status

You can view statuses in the Inspections list in the CMS (web) and in the mobile app.

  • In the CMS, open Inspections from the left menu

  • Find the inspection in the list

  • Check the Status column or use the Status filter to narrow results

Tip: If you have just created an inspection and it does not appear on the app, refresh the inspection list to pull the latest changes from the server.


Inspection statuses and what they mean

There are 8 inspection statuses in Inspection Manager. Use the sections below to understand what each status means and what actions to take next.

Pending

Pending means the inspection has been created but has not yet been started on any device.

What to do next

  • If the inspection is assigned to you, open the app and refresh the inspection list

  • Start the inspection on the device when you are ready

In Progress

In Progress means the inspection has been started on your device, but has not been synced to the CMS yet.

What to do next

  • Continue completing the inspection on the device

  • Sync the inspection as soon as practical, so the latest version is saved to the server

Not Synced

Not Synced means the inspection is completed, but it exists only on the device and has not been uploaded to the server. This can be risky if the device is lost or damaged.

What to do next

  • Open the app and sync the inspection as soon as possible

  • Avoid leaving inspections in Not Synced longer than necessary

Note: Keeping an inspection only on a device increases the risk of losing the report if the device is damaged or lost.

Completed

Completed means the inspection is safely on the server, but you can still make changes in the CMS.

What to do next

  • If required, open the inspection in the CMS and make edits

  • When you are finished, proceed with your usual workflow (for example, send, download, or close if applicable)

Note: If you edit an inspection in the CMS, those changes do not sync back to the app. If you are unsure about editing, contact support.

Tenant Assisted Inspection (TAI) statuses

TAI workflows introduce two tenant-related statuses.

Tenant Routine (T Routine)

T Routine is used for a routine inspection that you have sent to tenant(s) to complete as a Tenant Assisted Inspection (TAI).

What to do next

  • Send the routine inspection to the tenant(s)

  • Monitor progress until the tenant completes their portion, then continue your internal review process

In Tenant Review (T Review)

T Review is used for paperless ingoing inspections that have been sent to tenant(s) and are awaiting tenant review and signature. These inspections remain in this status for a limited number of days.

What to do next

  • Confirm the ingoing inspection has been sent to the tenant(s)

  • Track the time remaining (timeframes vary by legislation and configuration)

  • If required, follow up with the tenant before the review window closes

Note: Inspection Manager applies state/legislative rules, so these inspections automatically close when the allowed time lapses, or when tenant(s) sign the report.

Scheduled

Scheduled means an ingoing inspection is scheduled to be sent to tenant(s) at a future date/time. Once the scheduled time is reached, it is sent, and the status changes to T Review.

What to do next

  • Confirm that the scheduled date and time are correct

  • At the scheduled time, check that the inspection has moved to T Review

Closed

Closed means the inspection has been finalised. This can happen because you closed it, or because a paperless ingoing inspection closed automatically after the time limit or tenant signing.

What to do next

  • Open the inspection if you need to download, email, or print the final report
