This article will cover how to email one or more landlord.
If you only want to email one landlord then skip to 'STEP 1'
How to add Additional Landlord(s)
If you wish to email more than one landlord you will first need to ensure that you have added any additional landlord(s) details to the property profile.
First you must search up the property using the top search bar on the Inspection Manager website. Then click the 'Edit' pencil on the right of the property.
Then scroll down to the Landlord Details section. You can then click the '+ Add New Landlord' option and then enter in the additional landlords name and email. Then click 'Save Property'.
Once you have the additional landlord(s) added and the property continue to STEP 1.
How to Email to Landlord(s)
STEP 1: Click on "View Report" to the right of the Complete or Closed status inspection which will open your report in another tab. Once it has loaded, review your data and make sure all is correct.
If Inspection is in Completed Status:
Once you are happy with the data, click on 'Close Inspection' which will bring up a panel at the top of the report that looks like this:
Select your 'Date of Signature', the 'Date Inspection Completed'.
Lastly the 'Email Now' icon. Once selected it will look like this:
Or if Inspection is already in Closed Status:
Click on the green 'Resend' option at the top of any page.
STEP 2: (Optional if you have more than one Landlord added to the property)
You can then click on '+ New Email' and then select the 'Drop-Down' arrow and select the checkbox for any additional Landlords.
STEP 3: You will then need to select who you would like to send the report from.
'Me' will email from your own login.
'Property Manager(s)' will email from the property manager that is on the property in Inspection Manager, useful if an assistant is emailing on behalf of the property manager.
'Select A User' will email from another user in your office. You will see another drop-down appear if you select this option.
'Office Email' will email from a saved office email within your office's CMS settings. This can be found under 'Settings > General Settings Tab > Email Settings' section. You will also see another drop-down if this option is selected.
Once you have selected who you would like to send the report from you can then click the drop-down 'Select Email Template' and select the template you wish to use.
(If you do not have an email template set up for your account navigate to 'Settings>Email Templates' and proceed to set up an Email Template).
Once you have selected your email template you are able to leave it as it is or you can make manually added edits to the email by clicking the green 'Edit' option.
You can choose to select the checkbox for 'BCC me?' if you wish to receive a copy of the email being sent.
Once you are happy with the selections you have made you can click 'Send Email' to send the email to the landlord.
