About conducting inspections in the app
After you open an inspection from the Property Profile Screen, you can work through the property area by area in the inspection screen. To record inspection details, tap an area to expand it, then use the available controls to add condition codes, comments and photos for the relevant items.
Expand an area and record item conditions
To begin recording inspection details, open the area you want to inspect. Each expanded area shows the items within it, and the condition controls you can use during the inspection.
Tap the area you want to inspect to expand it
Review the items listed in that area
Tap the condition code icons to record the current condition of each item
Use the available status icons shown in the app, including Neutral, Yes, and No, as needed for the item you are assessing
If appropriate, use the thumbs up option to action the condition for items in the area
For Ingoing and Outgoing inspections, you can tap the thumbs-up icon to mark all items in the entire area as being in good condition
Tip: Review each area in the order you move through the property so your inspection flow matches the on-site layout.
Add or edit comments
Comments let you describe the condition of an area or item in more detail. The app also supports predictive phrases and shortcut codes to help you enter common comments more quickly.
Tap the Comment icon to add a new comment
Tap an existing comment if you want to edit or delete it
Start typing in the comment field to see matching predictive phrases from your office dictionary
Select a predictive phrase if you want to insert a pre-written comment
If your office uses shortcut codes, type the shortcut code, then press the space bar to automatically add the linked predictive phrase
Save the comment when you are finished
Note: Predictive phrases are managed in the CMS and are synced to the app when you refresh the inspections list.
Note: You can use voice-to-text by tapping the microphone icon. In practice, availability may also depend on your device, keyboard and speech recognition settings.
Add photos and photo comments
Photos help document the condition of an area or item during the inspection. You can add new images, place comments directly on a photo, reposition comment markers, and delete photos you no longer need.
Tap the Camera icon to add a new photo
If your device asks for access to take pictures, record video and audio, tap While using the app.
Tap an existing photo if you want to add comments or delete it
If Quick Capture is turned on, take multiple photos one after another without saving each photo individually
If Quick Capture is turned off, save each photo before taking the next one
Tap a captured image to open it and add a photo comment
Tap the relevant location on the photo to place the comment marker
If the marker is not in the right place, tap and hold it, then move it to the correct position
Edit or delete existing photo comments from the comment display section while viewing the image
Tap Done when you finish reviewing or editing the photo
Note: You can delete an image from the area or item view by tapping the X icon on the photo, or from the photo view by using the Delete option.
Record tenant action if needed
If your office uses the tenant action feature, you can create a tenant action request while completing an inspection in the Inspection Manager app. This lets you record an issue for the relevant area or item and include supporting details such as comments or photos as part of the request.
Add a maintenance request
If your office uses the maintenance feature, you can record maintenance issues while completing an inspection in the Proptech Labs app. This feature requires an active Bricks + Agent integration and allows identified issues to be sent for follow-up action after the inspection is synced.
Finish the inspection and choose a sync option
When you reach the end of the inspection, the app gives you two options: Sync Later or Sync Now. Both options move the inspection into Not Synced status first, but they take you to different next steps.
Complete the required inspection details for each area
At the bottom of the inspection screen, choose Sync Later or Sync Now
Tap Sync Later if you want to leave the inspection in Not Synced status and decide whether to move to the next inspection or go to the sync screen afterwards
Tap Sync Now if you want to move the inspection into Not Synced status and go directly to the sync screen with that inspection already selected
If you created a tenant action request or a maintenance request, you can view them before tapping one of the sync options
Tip: If you want the completed inspection returned to the CMS as soon as possible, Sync Now is the better option.
